Batch and expiry tracking for cosmetics and personal-care distributors is easiest when the dates are in front of you while you bill, and Takkada's Price by batch setting puts them there. On a sales-invoice line, the Batch box lists each lot of that cream, hair colour or serum with stock left in the godown, its MRP, Mfg and Exp, as your Tally books hold them. Expired lots drop to the bottom with a red Expired label. Pick the lot that is going out and the line takes its rate: the lot MRP first, then the last rate that lot sold at, then the rate already on the line, and you can type over it. If a store takes two lots of one product, each lands on its own line at its own rate. The PDF prints the lot under the item with Mfg and Exp, and the bill reaches Tally with the lot on each line and its dates when known.
How the trade runs
You supply 180 beauty stores, salons and chemist counters on 30-day credit. Your range runs to a few hundred items: hair colour in twenty shades, face creams, sunscreens, serums, shampoos in three pack sizes. Most carry a printed MRP, a manufacturing date and an expiry or best-before date, and the MRP changes from one lot to the next more often than anyone would like.
Stores check dates closely on beauty products because their customers do. A salon owner who finds a short-dated tube in your delivery calls you, and the conversation goes faster when the lot and its dates are already on the bill you sent.
What the lot list shows
With Price by batch on, tap the Batch box on a sales-invoice line. For a hair colour shade you might see:
HC2604, 18 left, withMRP ₹240 · Mfg 05-Apr-2026 · Exp 04-Apr-2029under itHC2608, 60 left, withMRP ₹260 · Mfg 11-Aug-2026 · Exp 10-Aug-2029under it
Two MRPs for the same shade sit side by side, so the clerk sees which pack is in the carton before he bills. Lots past their expiry date move to the bottom of the list in red. The app leaves the choice to the clerk; an expired lot can still be picked if you mean to.
The rate on the line
The lot MRP fills the rate first: as it is in an Incl. GST bill, with GST taken out in an Excl. GST bill. Stores buy below MRP, so type your trade rate and the line keeps it. If your Tally lots carry no MRP, the line opens at the last rate you sold that lot at, then at the rate already on the line. Scheme free lines take the lot and keep their free rate.
What the store and Tally receive
The PDF prints HC2608 · Mfg 11-Aug-2026 · Exp 10-Aug-2029 under the shade name. Tally receives the same lot on the sales voucher line, with Mfg and expiry when known, with that line's own rate, so lot-wise stock in your books follows the bills.
Scope today
Lots come from the purchase entered in Tally; the app reads them and does not create new ones. Price by batch is a sales-invoice setting, so sales orders and credit notes do not take the lot picker. There are no near-expiry alerts; the red label marks stock already past its date. The full rules are in the batch-wise billing guide. If you also distribute OTC or dermatology lines, the Tally app for pharma distributors covers the rest of the day.
Frequently Asked Questions
Q: Can the bill show two MRPs for the same product?
A: Yes. Each lot goes on its own line with its own rate.
Q: Does the invoice print the expiry date?
A: Yes, under the item, when Tally holds the lot's dates and the lot was picked with Price by batch on.
Q: Can my salesman change the rate after picking a lot?
A: Yes, unless you have locked rates for ladder discounts. Otherwise type the new rate and the line keeps it.
Q: Who can switch Price by batch on?
A: A business admin, under Settings, Invoices.
