Paper Picking List vs Dispatch Load: What Actually Left the Godown

Paper Picking List vs Dispatch Load: What Actually Left the Godown

The paper picking list vs dispatch load question comes down to one moment: the van is back, the list has ticks and crossings on it, and the office is about to bill. With a paper list, those marks reach the office only if somebody carries them over and the biller reads them. With a dispatch load in Takkada, the same marked-up sheet is keyed back into the van line by line, each short line with a reason such as No stock or Shop refused, and the bill for each shop is made from those keyed quantities. The part that did not go stays pending on the order for a later van instead of being forgotten. Both approaches still use paper in the godown, because Takkada prints a loading sheet with a load list by item and a drop slip per shop. What changes is that the paper's answer, what actually left, becomes the number the bill is made from.

How the paper list usually works

Many distributors run dispatch on paper, and it works well for loading. Someone in the office prints the day's sales orders or writes a consolidated list. The loading staff pick from it. The driver carries copies for the shops. Paper is quick, needs no phone at the godown, and everyone understands it.

The gaps show up later. The list is made once, in the morning, so an order added at 10 AM may miss it, and two lists made from the same orders can send the same goods twice. The ticks and crossings come back at night on a sheet that lives in a drawer. The office bills from the order, because the order is what sits in Tally.

How a dispatch load works

Open Dispatch and tick pending sales orders on the Orders tab, whether they were entered in Tally or booked through sales orders on mobile. Add them to a van. An order already on an open van is greyed out and cannot go on a second one. Set the vehicle, driver and drop order, then print the loading sheet: a Load list by item, an optional Load grid, and Drop slips per shop, each with a blank Dispatched column to write in.

When the van returns, Key back what went turns the marks into numbers. Lines are pre-filled with what was loaded, so only short lines change, and each needs a reason before Save what went out works. Billing from the van uses those quantities.

What paper still does better

Paper needs no screen at the godown and no training. Takkada keeps that strength: the driver and the loading staff still work from printed sheets, and only the people who build the van and key it back need the app. Takkada also does not plan routes, track the vehicle or tell you what fits in the truck. You keep making those calls the way you do today.

Where the dispatch load pays back

The return is in the bills. A shop that took 8 of 10 cartons is billed for 8, so there is no credit note a week later. The 2 cartons sit on his order for the next van. The office sees short reasons, so No stock goes to the buyer and Shop refused goes to the salesman. Billing needs the Sales Invoice right, so the godown keys back and the office bills, and invoices reach Tally when the sync runs on the office computer.

Frequently Asked Questions

Q: Do I stop printing paper with a dispatch load?

A: No. Takkada prints the loading sheet, and the godown and driver work from it as before.

Q: Who has to use the phone?

A: Whoever builds the van and whoever keys back what went out. The driver and loading staff can work from paper.

Q: Can a short line be saved without a reason?

A: No. Save what went out stays off until each short line has a reason.

Q: Does it replace my Tally sales orders?

A: No. It reads the sales orders you already have, from Tally or the phone.
