Auto parts billing for two-wheeler spare parts distributors works best when the bill price of each part follows its last purchase cost plus your markup, and Takkada's AutoParts billing sets it up that way on the phone. You give each stock group its markup once, for example 30% on brake parts and 28% on clutch parts, and the app reads each part's cost from its latest purchase bill, after the trade discount and before GST. A brake shoe set that cost ₹142.60 sells at ₹185.38, and a clutch plate that cost ₹318.45 sells at ₹407.62, both before GST. When the brand raises its price and your next purchase bill reaches the app, the selling price follows. Counter staff who are not allowed to see purchase costs bill from the phone at the right rate without seeing what you paid, and the item's card shows the date of the purchase the cost came from, so you can tell how fresh it is.
The counter on a busy morning
You stock three or four brands, a few thousand part numbers between them, and sell to 150 to 250 garages and spare parts shops, most on 15 to 30 days of credit. A garage's order is a list of small things: two brake shoe sets, a clutch cable, five spark plugs, a chain set. The amounts are small and the count is large.
Prices are where small leaks add up. A brand revises its price, the purchase bill comes in higher, and the counter keeps billing the old rate for weeks because nobody had time to change hundreds of rates.
Group markups that match how you think
Two-wheeler parts already sit in stock groups in Tally, by brand or by type. In Settings, Invoices, AutoParts billing, each group gets its own markup. Set a Company default markup for whatever is left, say 25%.
Some parts need their own figure. A fast-moving clutch plate sold close to cost can carry 18% as an item markup, and the screen marks it "18% · from item". A part with a fixed rate from the brand can be excluded, and it then bills at its normal price.
Only the business admin can change these figures. Staff who may see costs can open the screen and read them.
The bill
On a sales invoice from the phone, 20 brake shoe sets come in at ₹185.38 each:
- Taxable value: ₹3,707.60
- CGST at 9%: ₹333.68 and SGST at 9%: ₹333.68
- Line total: ₹4,374.96
Ten clutch plates at ₹407.62 make ₹4,076.20 taxable, with ₹366.86 each of CGST and SGST, for ₹4,809.92. The GST rates here are an example; the bill uses each item's own GST rate.
If a garage bargains and the person billing types a lower rate, the line keeps the typed rate, unless the owner has locked rates for staff. The invoice reaches Tally as a sales voucher with each line's rate.
Who sees the cost
A counter boy needs the price, and the server keeps the cost and markup away from members who are not allowed to see purchase costs. They see only the selling price. You and your accountant see the cost, the markup and the purchase date on the item's card in Stock Summary.
Parts that will not price
A part bought only in boxes of ten, while its Tally unit is pieces, has no purchase in its own unit. The card says No usable cost, and the part bills at its normal price until a purchase in pieces arrives. A part that has never been bought shows Never purchased. A look through Stock Summary after setup shows which parts these are.
After a price revision
Tap Price changes on the AutoParts billing screen. Each recent purchase bill that moved a cost shows how many items moved and how many moved more than 10%, with each part's old and new cost and selling price. The rules behind the numbers are in the AutoParts billing guide, and the module page is cost-plus pricing for Tally.
Frequently Asked Questions
Q: Can each brand carry a different markup?
A: Yes, if each brand is its own stock group in Tally. Set the markup on the group, and items with their own markup keep it.
Q: Will my salesman see my purchase cost?
A: Not unless he is allowed to see purchase costs. Otherwise he sees only the selling price.
Q: What if one part sells better at a lower markup?
A: Give that item its own markup. It wins over the group's figure.
