Auto Parts Billing for Commercial-Vehicle Parts Wholesalers

Auto Parts Billing for Commercial-Vehicle Parts Wholesalers

Auto parts billing for commercial-vehicle parts wholesalers usually needs two prices for the same part, one for retail shops and one for fleet owners who buy in bulk, and AutoParts billing in Takkada builds both from the part's last purchase cost. You set two markups, for the company, a stock group or an item, and each party is put on one of the two price levels. A leaf spring that cost ₹1,240.00 sells at ₹1,612.00 on the first level at 30% and at ₹1,488.00 on the second level at 20%, both before GST. When your counter bills a transporter who is on the second level, the line comes in at ₹1,488.00 without anyone choosing. The cost comes from the latest purchase bill for the part, after the trade discount and before GST, so when a fresh purchase arrives at a new cost, both prices move together. Each level can be renamed to what your counter already calls it.

The wholesaler's two kinds of buyer

You stock leaf springs, brake linings, clutch plates, filters and bearings for trucks and buses. Your parties fall into two camps. Retail spare shops and garages, perhaps 150 of them, buy a few pieces at a time on 30 days. Fleet owners and transporters, fewer but larger, buy in quantity, expect a sharper price and often pay on 45 to 60 days.

Most wholesalers keep two price lists for this, and keeping both in step with costs doubles the work.

Two levels, one cost

The levels are called SP1 and SP2 until you rename them. Open Settings, Invoices, AutoParts billing, tap Level names, and call them Retail and Fleet, up to 24 characters each. Renaming changes only the words on screen.

Each markup dialog then has two boxes: Retail markup % and Fleet markup %. Set them for the company default, for a stock group, or for a single item. The same order applies at both levels: the item's own figure first, then its group's, then the company default. A blank Fleet box on an item or group falls through to the next level. If no level (item, group or company default) has a Fleet markup, a Fleet party is billed that item at its normal price.

Putting a party on a level

In the party's edit sheet, the business admin sees AutoParts price level, "Which selling price this party is billed at," with the two level names. Tap Fleet for each transporter. A party that has not been set stays on the first level.

The two bills

A retail shop takes six leaf springs: ₹1,612.00 each, taxable ₹9,672.00. At 18% GST, CGST and SGST are ₹870.48 each, total ₹11,412.96.

A fleet owner takes the same six: ₹1,488.00 each, taxable ₹8,928.00, CGST and SGST ₹803.52 each, total ₹10,535.04.

GST here is an example at 18%. The bill uses each item's own GST rate. Both invoices reach Tally as sales vouchers with each line's rate.

Brands on a fixed rate

Some brands sell on a printed list with a fixed dealer rate. Exclude those items from AutoParts billing and they bill at their normal price whatever their group's markup says. The group list shows how many items in each group are excluded and how many carry their own markup.

Keeping the cost private

The counter and the salesmen need the price. The server holds back cost and markup from members who are not allowed to see purchase costs, and they see only the selling prices. On the Stock Summary card, you see "M1 30%" beside the first price and "M2 20%" beside the second, with the cost and its purchase date.

The rules behind both prices are in the AutoParts billing guide, and the module page is cost-plus pricing for Tally.

Frequently Asked Questions

Q: Is the second level a discount off the first?

A: No. Each level is its own markup on the same cost, so you set your own figure for each.

Q: Who decides which level a party is on?

A: The business admin, from the party's edit sheet. Parties start on the first level.

Q: What if an item has no second-level markup?

A: It takes its group's, then the company default's. If none of the three has one, a party on the second level is billed that item at its normal price.

Q: Do both prices change when the cost changes?

A: Yes. Both are worked out from the same latest purchase cost.
