A dispatch load for building-material suppliers has to handle the delivery that does not go to plan, and in Takkada the van records exactly what the site took. You add the contractor's pending sales order to a van on the Dispatch screen, print the loading sheet, and send the truck. When it returns, the person at your godown keys back what was actually unloaded, for example 120 bags of the 200 ordered, and picks a reason for the gap such as Shop refused or Other with a note. The bill is made for 120 bags, and the other 80 stay pending on the same order for a later truck. You do not cancel and re-enter the order, or bill 200 and raise a credit note for 80. For a supplier selling cement, steel, tiles and sanitaryware to contractors and site owners on 30–45 days of credit, that is the difference between a bill the contractor signs and one he argues about.
Why site deliveries rarely match the order
Your customers are contractors, builders and households in the middle of construction. A contractor orders 200 bags of cement and 2 tons of TMT bars for a site. On the day, the slab work is delayed, there is space to store only 120 bags, and the mason wants the 10 mm bars first. Your truck comes back with goods still on it. The godown knows. The office, billing from the order in Tally, often does not.
Put the site order on a truck
Open Dispatch. The Orders tab lists sales orders that still have quantity to send, whether they were entered in Tally or booked by your salesman through sales orders on mobile. Search the contractor's name, tick the order and press Add to van. A big order can ride one truck, and orders for several parties can share one, with each party as its own drop. Two sites for the same contractor sit under that contractor's one drop.
Add the vehicle number and the driver on the van page, drag the drops into the order the truck will reach them, and print the sheet. The Load list shows each item with its unit, so bags, tons and boxes read as they are in your Tally items. Each contractor's Drop slip has Item, Sent and Received columns, a Short / returned line and a Received by line for whoever signs at the site. If the party's ledger carries an address and phone, they print on the slip; site directions you write on the slip by hand.
Press Van is loaded once the truck is packed.
Key back what was unloaded
When the truck is back, open the van and press Key back what went. Lines arrive pre-filled with the quantity on the van, so a full delivery saves in one press. For the cement, lower 200 to 120 and answer Why short?: pick Other and write "slab delayed, site storage full". Save what went out.
The van shows Still owed from this load: 80 bags for that contractor. They stay pending on his order and turn up on the Orders tab for the next truck. If the contractor cancels the rest outright, you can write the remainder off with a reason. That write-off is permanent, so use it when the order is truly closed.
Bill only what reached the site
Someone with the Sales Invoice right presses Make invoices and sees one invoice per party at the keyed-back quantity. Check the voucher type and sales ledger, untick any party you want to hold, and create the invoices. They reach Tally when the sync runs on the office computer. If the contractor needs another truck next week, the next van picks up the 80 bags and makes a second bill for those.

Frequently Asked Questions
Q: Can one order be delivered over several trucks?
A: Yes. Whatever is not keyed back as sent stays pending on the order and can go on a later van.
Q: Does the loading sheet print the site address?
A: It prints the address and phone saved on the party's ledger, when there is one. A separate site address per order is not printed.
Q: Can the godown make the bill?
A: Only a member with the Sales Invoice right can bill. The godown can build the van and key back without it.
Q: Does it plan truck routes for me?
A: No. You set the drop order by dragging, and there is no route suggestion or vehicle tracking.
