Dispatch Planning for Beverage Distributors with Truck Capacity Limits

Dispatch Planning for Beverage Distributors with Truck Capacity Limits

Dispatch planning for beverage distributors comes down to one hard limit, the truck, and Takkada helps you plan inside that limit. On the Dispatch screen you add pending sales orders to a van, and the loading sheet's Load list shows the total quantity of each item going on it, so you can see the day's crates before anyone lifts one. If the truck cannot take it all, you take lines off the van before you mark it loaded, and they go back on the picking list. If the truck fills up mid-loading, the godown later keys back the lines that did not fit with the reason Vehicle full. Those crates stay pending on the shops' orders for the next trip, and each shop's bill is made only for what reached it. Takkada does not calculate capacity for you. You and your godown in-charge know what a truck holds; the app keeps the record of what actually went.

Summer is a capacity problem

A soft-drink or packaged-water distributor's April to June looks the same everywhere. Orders from 120 shops, dhabas and kirana stores double, credit runs 7–15 days, and the trucks stay the same size. A 1-ton pickup holds what it holds. The owner's real job each morning is deciding which shops get full orders, which get part, and which wait a day. Most of that decision lives in the owner's head and a paper list, which is why the evening bills often go out for crates that never left.

See the load before you lift it

Open Dispatch, tick the pending orders for a route and press Add to van. On the van page, print the sheet with the Load list on. It gives one row per item with its unit and the total load, plus the drop numbers each item goes to. That one page tells you whether today's 600 ml crates are 40 or 90 before the loading staff start.

Too much for one truck? Use Take lines off the van on the shops that can wait. Their orders go straight back on the picking list for the second trip or tomorrow's van. You can also keep two vans open at once and split the route between them. Orders your salesmen take through sales orders on mobile appear on the same picking list.

When the truck fills before the list ends

It happens anyway. The loading boys get to drop 14 and there is no room. The driver leaves, and the Load list on paper carries the ticks and the blanks.

When the truck is back, the person at the godown opens the van and presses Key back what went. Lines are pre-filled with what was ordered, so only the short ones change. Drop 14's crates go to 0 with the reason Vehicle full. A dhaba that refused two crates gets Shop refused. Save what went out.

The van then shows Still owed from this load, and those crates stay pending on each shop's order. Over a summer, each Vehicle full line under Still owed is a plain record of a day your truck was the bottleneck.

Bill what reached the shop

Someone with the Sales Invoice right presses Make invoices and reviews one invoice per shop at the keyed-back quantity. Leave a shop unticked if its bill should wait, then create the invoices; they reach Tally when the sync runs on the office computer. If your office had already billed the van's orders straight in Tally while the truck was out, the van says Already billed in Tally once those bills have synced, and offers no second bill.

The whole flow is covered in dispatch planning from Tally orders.

Frequently Asked Questions

Q: Can Takkada tell me how many crates fit in my truck?

A: No. There is no capacity or weight calculation. The Load list shows the total of each item so you can judge it yourself.

Q: What happens to crates marked Vehicle full?

A: They stay pending on the shop's order and are offered again for the next van.

Q: Does it track empties or returned bottles?

A: No. The van records what went out against orders. Empties stay in whatever system you use today.

Q: Can I run two trips in a day?

A: Yes. You can keep more than one van open, and an order already on one open van cannot be added to another.
