FMCG Billing for Confectionery Wholesalers with Many Small SKUs

FMCG Billing for Confectionery Wholesalers with Many Small SKUs

FMCG billing for confectionery wholesalers is a problem of volume: hundreds of small SKUs, each with its own MRP and retailer margin, and orders that run to 60 or 70 lines. In Takkada, the owner sets the MRP and margin for each SKU once, working through the Billing Module one stock group at a time, with a running count of how many items in each group are done. After that, when anyone adds an item to a new sales invoice or sales order on the phone, the rate stays the MRP and the margin is applied by itself as the line's discount, worked as a divisor on the retailer's cost. A trade discount goes on the line as Discount 1 or Discount 2, up to the limit you set, and the margin stays locked for staff. Invoices and sales orders sync to Tally with the discount on each item line. A long order no longer depends on anyone remembering two hundred rates.

The confectionery counter

A typical confectionery wholesaler stocks 300 to 600 SKUs: ₹1 and ₹2 toffees in jars and pouches, lollipops, chewing gum, ₹5 and ₹10 chocolate bars, gift boxes before festivals. Customers are retailers, smaller wholesalers and paan shops, many paying cash or on 7 days of credit. A single order can touch seventy items, most of them a few rupees each.

Margins differ by company and by format. A jar of toffees and a pouch of the same toffee carry different margins, and festival packs come with their own. Rate cards go out of date faster than anyone can reprint them.

Work through the SKUs group by group

The owner opens Settings, then Invoices, then Billing Module. Your Tally stock groups are listed, such as Toffees, Chocolates and Gum, each with a line like "48 items · 12 configured". There is a search box for groups, and one for items inside each group. Each item shows chips for what is already set: MRP, M for margin, D1, D2 and C for commission.

Tap an SKU and fill:

  • MRP (incl. GST): the printed price
  • Retail Margin %: the margin from the company (required; 0 is allowed)
  • Discount 1 % and Discount 2 %: the most staff may give, if any

There is no single box for a whole group, so a 400-SKU range is a few sittings of work. The counter in each group header shows what is left.

What the order looks like

Take a ₹5 bar with a 25% retailer margin. The salesman adds 500 bars and the cart shows "Discount 20%", the 25% margin worked as a divisor: the retailer buys at ₹5 ÷ 1.25, which is ₹4. The invoice line keeps the rate at ₹5, shows the discount with its rupee amount, and prints "Retail Margin: 25%". On an Incl. GST invoice at 5% GST the 500 bars come to ₹1,999.20 against a calculator's ₹2,000, because the line follows Tally's paisa rounding.

When a retailer is owed the company's trade discount, the salesman taps the line's discount, enters D1 on the Item Discount sheet, and anything above your maximum is refused.

Items you have not set yet

Any SKU without a margin keeps billing at the usual rate from Tally while you work through the range. Credit notes and purchase bills are untouched, and an invoice made from a saved sales order keeps the rate that order quoted.

Frequently Asked Questions

Q: Do I have to set up all 500 SKUs before I start?

A: No. Items without a margin keep their usual Tally rate, so you can start with your top groups and add the rest over time.

Q: Can I set one margin for a whole stock group?

A: Not in one step. Margins are entered item by item, with the group screen showing how many are done.

Q: Can staff edit the margins?

A: No. Only the owner's login can open the Billing Module, and the margin box on a bill is greyed out for staff.
