FMCG billing for personal-care and detergent distributors works when every item carries its own MRP, retailer margin and discount limits, because a shampoo sachet, a bottle and a detergent bag never share one rate structure. In Takkada, the owner sets those figures per stock item in the Billing Module. When the salesman adds one of those items to a new sales invoice or sales order on his phone, the rate stays the printed MRP and the retailer's margin is applied by itself as the line's discount, worked as a divisor on the retailer's cost. When a shop is owed the company's trade discount, the salesman adds it on the line as Discount 1 or Discount 2, capped at the maximum you set, and the margin stays locked for staff. Invoices and sales orders sync to Tally with the discount on each item line. A revised MRP reaches the next new bill the moment you change it.
How a personal-care distributor's week runs
A typical distributor in this category supplies 200 to 300 outlets: kirana stores, chemists, cosmetic shops and a few supermarkets, mostly on 15 to 21 days of credit. The range is wide. Soaps in singles and four-packs, shampoo in sachets and bottles, toothpaste, hair oil, and detergent from ₹10 pouches to 4 kg bags. Each format has its own margin, and the company revises MRPs and grammage several times a year.
When a revision lands, the office has to tell every salesman, and the old rate keeps turning up on bills for a week. A chemist who checks every line catches it. A busy kirana store pays it and argues at the next collection.
Put the company's letter into the items
The owner opens Settings, then Invoices, then Billing Module, and works group by group through the stock groups that come from Tally, such as Soaps, Hair Care and Detergents. Each group row says how many items it has and how many are set up. For each item, enter:
- MRP (incl. GST) as printed
- Retail Margin % from the company's letter (the one required box)
- Discount 1 % and Discount 2 %, the most a salesman may give at each stage
Each item's own page shows the same values in its Billing Configuration card, so the owner can check one product without opening the group.
On the bill
Suppose a shampoo bottle has a printed MRP of ₹99 and the company gives the retailer 15%. The salesman adds 36 bottles and the cart shows "Discount 13.0%", the 15% margin worked as a divisor: the chemist buys at ₹99 ÷ 1.15. The invoice line shows the rate as the MRP, the discount, and "Retail Margin: 15%" underneath. Nobody types a rate.
If the company's trade discount applies, he opens the Item Discount sheet from the line and enters it as D1. The sheet shows the maximum, and anything higher is refused with "Cannot exceed" and the limit. The margin box is greyed out for staff.
Revisions without the week of wrong bills
When the company revises a bottle's MRP, change the MRP box on that one item. The next new bill takes it. Bills already made keep their rates, and an invoice made from a saved sales order keeps the rate that order quoted. Credit notes and purchase bills are not touched by the margin at all.

Frequently Asked Questions
Q: Can sachets and bottles of the same brand carry different margins?
A: Yes. When each is its own stock item in Tally, each carries its own MRP and margin in the Billing Module.
Q: Can a salesman give a chemist more discount than the company allows?
A: Not on the Item Discount sheet. Discount 1 and Discount 2 are capped at the maximum you set, and a higher figure is refused. A rate typed by hand in the Rate box replaces the MRP on that line instead.
Q: What if an item has no margin set?
A: It bills at the usual rate from Tally, as it did before. The margin applies only to items where you set one above zero.
