FMCG Billing for Super Stockists Selling to Sub-Distributors

FMCG Billing for Super Stockists Selling to Sub-Distributors

FMCG billing for super stockists means billing sub-distributors and wholesalers at MRP less the margin they are promised, item by item. In Takkada, the owner sets each stock item's MRP and margin once in the Billing Module. The box is named Retail Margin, and for a super stockist it holds the margin your buyer keeps. When an item you have set up goes on a new sales invoice or sales order from the phone, the rate stays the MRP and that margin is applied by itself as the line's discount, worked as a divisor on the buyer's cost. Any trade discount the company passes down goes on the line as Discount 1 or Discount 2, capped at the maximum you set, and the margin box is locked for staff. Invoices and sales orders sync to Tally with the discount on the item line. The set-up items on a sixty-line order come out at the agreed rates.

How a super stockist bills

A typical super stockist serves 20 to 60 parties: sub-distributors in smaller towns, wholesalers in the main market and a few institutional buyers. Orders are large, often full cases across 50 or 60 lines, and credit runs 15 to 30 days. The company fixes the margin the sub-distributor keeps on each product line, and passes trade discounts down through you during a push.

With so few parties, every one of them knows the rate structure as well as you do. A wrong margin on a case of detergent is a phone call the same day, and a credit note the next week.

Load the margins your buyers keep

The owner opens Settings, then Invoices, then Billing Module. The stock groups from Tally are listed with how many items each has and how many are set up. Inside a group, tap each item and enter:

  • MRP (incl. GST), as printed
  • Retail Margin %, the margin your sub-distributor keeps on that item
  • Discount 1 % and Discount 2 %, the most staff may pass on, if the company allows a trade discount

The group header keeps count, like "40/52 configured", so you can see what is left before the first bill.

What the bill shows

Say a pack has an MRP of ₹50 and the sub-distributor keeps 12%. Your billing clerk adds 60 packs. The cart shows "Discount 10.7%", because 12% worked as a divisor is 10.71% off MRP: the buyer pays ₹50 ÷ 1.12. The invoice line keeps the MRP as the rate, shows the discount with its rupee amount, and prints "Retail Margin: 12%" under it.

When the company runs a push and you pass 2% down, the clerk opens the Item Discount sheet and enters it as D1. The sheet shows the maximum you set, and a higher number is refused with "Cannot exceed" and the limit. The margin box is greyed out for staff.

Orders, edits and returns

Many sub-distributors send the order first. Save it as a sales order, and the invoice made from it keeps the rate that order quoted. Editing an old invoice does not re-apply the margin, and neither do credit notes or your purchase bills from the company.

Frequently Asked Questions

Q: The box says Retail Margin. Can I use it for a sub-distributor's margin?

A: Yes. The box takes whatever margin the buyer keeps, and the rate is worked down from MRP the same way.

Q: Can different parties get different margins on the same item?

A: The margin is set per stock item, so every party billed that item gets the same margin. A trade discount on top can differ by party, up to your maximum.

Q: Will the margin apply twice on an invoice made from a sales order?

A: No. An invoice made from a sales order keeps the rate the order quoted.

Q: What does Tally show for these bills?

A: Each invoice reaches Tally as a sales voucher, and each sales order as a sales order, with the discount percentage on the item line. The MRP stays in Takkada, and Tally's item master is not changed.
