Orders by phone call vs orders by link comes down to who does the typing and when you check it. On a phone call, your staff listen, write the order down and type it into Tally later, so the item names and quantities are only as good as what was heard. With an order link, the customer picks items from your own Tally stock list and enters quantities himself, and the order waits in your inbox until you check it. In Takkada you then press Create order for a Sales Order or Create invoice to bill, and only that voucher goes to Tally when the sync runs on the office computer. The link sends items and quantities only, so rates come from the option you chose. The phone still suits urgent orders, rate negotiations and customers who will not type, and both can run side by side for the same business.
How a phone order travels
A customer calls between 9 and 11 in the morning. Whoever picks up writes the order on a pad or in a register, often while another customer stands at the counter. Later, someone types it into Tally as a sales order. That is two handoffs, each a chance for a mistake, such as "Surf 1 kg" written when the customer said 500 g, or an item name that matches three things in Tally. The call itself leaves no record of what was said, so when the delivery is wrong, the argument is about memory.
The phone has real strengths. The customer is used to it, it needs nothing installed, and a quick conversation can settle a rate, a delivery date or a substitute in one go.
How a link order travels
You send one link on WhatsApp. The customer opens it in his phone's browser, searches your items, sees each with the unit it is sold in, and enters quantities. He gives his name and mobile number and taps Place order, and he gets an order number on screen.
In Customer orders you open it, confirm the party, check Quantity, Rate (excl. GST) and Disc % on each line, and press Create order or Create invoice. The typing happened once, by the person who knew what he wanted, against item names that already match your Tally.
Side by side
| Phone call | Order link | |
|---|---|---|
| Who types the order | Your staff, from what they heard | The customer, from your item list |
| Item names | Written as spoken | Your Tally stock item names |
| Rates | Quoted on the call or at billing | From the option you chose, or none shown; the customer cannot set one |
| Record of the order | Notes on a pad | An order with a number, in your inbox |
| When you check it | When it is typed into Tally | Before you press Create order or Create invoice |
| Needs from the customer | A phone call | A data connection and a browser |
| Best for | Urgent orders, negotiation, customers who will not type | Routine repeat orders, long item lists |
Running both
The phone and the link can run together. The link can take the routine orders off it, so the calls left are the ones that need a conversation. For regular customers, a personal link from the party page opens with "Ordering for" and his name and arrives already matched to him.
The full setup is in the WhatsApp order link for distributors guide, and the screens are on the order booking app for Tally page.
Frequently Asked Questions
Q: Will customers stop calling once they have the link?
A: Some will keep calling, and that is fine. Phone orders still go into Tally the way they do today.
Q: Is a link order checked before it reaches Tally?
A: Yes. It waits in Customer orders until you press Create order or Create invoice. Reject sends nothing to Tally.
Q: Can the customer negotiate the rate on the link?
A: No. The link sends items and quantities only. If you agree a different rate later, change it on the order before you approve.
Q: Does the customer need to install anything?
A: No. The link opens in his phone's browser. He needs a data connection to send the order.
