Purchase Bill Import for FMCG Distributors Receiving 50 Bills a Week

Purchase bill import for FMCG distributors turns each company bill, whether a PDF from the principal's portal or a photo of the printed copy, into a draft purchase voucher you check and save, so the payables clerk reviews 50 bills a week instead of typing them. In Takkada, you pick the bill from the Purchase register's Import from PDF or photo, and the supplier, bill number, date, SKU lines, quantities, rates, discount and GST are read off it. You confirm the supplier, map each line to your own stock item, and review the voucher before you save it. The mapping work shrinks over time: once a bill from a company has been imported, the items you chose for its lines are suggested again on its next bill. Prices are never carried over, so a revised rate on the new bill is the rate that lands. Saved vouchers go to Tally the same way any entry made in the app does.

A week of company bills

A typical FMCG distributor carries six to ten companies: biscuits, soaps, detergents, beverages, maybe a snacks brand. Stock arrives two or three times a week from each, and every load comes with a tax invoice running 20 to 40 SKU lines. That is 50 bills a week without trying, each with trade discounts, scheme lines and a GST split that has to match the supplier ledger at month end.

Usually one person types all of it, often after the counter closes. When that person is away for a wedding, the bills pile up, stock in Tally drifts from stock in the godown, and nobody can say what is really payable to which company.

What changes on a bill day

When a load arrives, the clerk opens Import from PDF or photo in the Purchase register and takes a photo of the bill, or picks the PDF the company emailed. "Reading your document…" usually takes about ten seconds.

On Match Supplier, the company's ledger is suggested with a confidence label, and the GSTIN is on screen to confirm it. On Map Line Items, each SKU line from the bill gets a stock item. The first bill from a company takes the longest, because you are teaching Takkada how that company names its packs. From the next bill, lines you mapped before show "Remembered from a past invoice", so only new packs need your attention.

Review Purchase Voucher shows the supplier invoice number and date, the purchase ledger, voucher type and number, payment due terms, items, and additional charges like freight. Then Save Purchase Voucher.

Checks that matter for FMCG bills

Company bills are long, and a single misread line can throw the total off by a few hundred rupees. If the items add up to a different figure from the total printed on the bill, the review screen shows both numbers and asks you to check before saving. A unit that does not exist in your Tally, like "CS" when your master uses "Case", is flagged on the line so you can fix it under Edit item details.

If the same bill reaches you twice, once from the company's salesman and once from their accounts team, and the first is already saved, the second shows "A purchase invoice with this supplier reference already exists" and the save button stays off.

Where the time goes now

The clerk still looks at every bill. What goes away is keying 40 lines from a crumpled printout. Checking a filled draft against the photo is the job, and on a 50-bill week that is the difference between an evening and an hour.

The Import purchase from PDF page shows the screens, and the guide to importing purchase bills into Tally covers the full flow.

Frequently Asked Questions

Q: Can I import a company bill that arrived as a PDF on email?

A: Yes. Choose a file and pick the PDF. PDF, JPG and PNG files up to 5 MB are accepted.

Q: Will scheme and discount lines come through?

A: Line discounts and the bill discount are read where the bill prints them. Check them on the review screen before you save.

Q: Can I import several bills at once?

A: Bills are imported one at a time. Each one gets its own review before it is saved.

Q: Does Takkada remember the rate from the last bill?

A: No. It remembers which stock item a line maps to, never the price. The rate on the new bill is used.
