Auto parts billing for tractor and farm-machinery parts dealers can take the selling price of each part from its last purchase cost plus your markup, and AutoParts billing in Takkada does this from the phone. You set a markup for each stock group, such as 18% on hydraulic parts and 32% on filters, and the app reads each part's cost from its latest purchase bill, after the trade discount and before GST. A hydraulic pump that cost ₹4,850.00 sells at ₹5,723.00 before GST, and a filter that cost ₹96.50 sells at ₹127.38. For a slow-moving part bought months ago, the item's card in Stock Summary shows "Cost as of" with the purchase date, so you know how old the cost behind the price is. When a fresh purchase that qualifies reaches the app before the season, the selling price follows it, and the Purchase price changes screen lists which parts moved. GST is added on the bill at each item's rate.
The dealer's year
You sell to farmers, tractor mechanics and smaller village shops, and your year runs on the crop calendar. Before kharif and rabi the counter is full: hydraulic pumps, PTO shafts, clutch assemblies, filters, cultivator blades. Many farmers buy on credit until the harvest is sold, so terms stretch to 90 days or more.
The stock has two speeds. Filters and belts turn over every season. A gearbox part might sit for a year, bought at last year's price, while the company has raised its rates twice since.
Cost-plus fits the counter
Tractor parts are hard to price from a printed list. Brands revise, local fabricators supply some parts, and the same blade can come from two sources. Pricing from your own purchase cost keeps the rule simple: what you paid, plus your markup.
In Settings, Invoices, AutoParts billing, give each stock group its markup and set a Company default markup for the rest. A part with a company-fixed rate can be excluded, so it bills at its normal price. Only the business admin can change markups.
The age of a cost
The app uses the latest purchase it can use, however old it is. For a fast mover that is last week's bill. For a slow mover it might be last year's. The Stock Summary card shows "Cost as of" with the purchase date for members allowed to see costs, so an old cost is easy to spot before the season starts.
If a supplier has since raised the rate and you have not bought again, the app is still pricing from the older bill. Raising that item's markup for now, or buying fresh stock, are both decisions you make with the date in front of you.
Sets, pieces and units
Farm parts are often bought in one unit and sold in another: a box of blades, a set of bearings, a kit. The cost is worked out in the item's own unit, so a purchase line booked in a different unit is skipped. If that was the only purchase, the card reads No usable cost and the part bills at its normal price. Booking purchases in the item's own unit in Tally avoids this.
The bill at the counter
A mechanic takes two hydraulic pumps and a dozen filters:
- 2 pumps at ₹5,723.00: taxable ₹11,446.00, CGST ₹1,030.14, SGST ₹1,030.14, total ₹13,506.28
- 12 filters at ₹127.38: taxable ₹1,528.56, CGST ₹137.57, SGST ₹137.57, total ₹1,803.70
These use 18% GST as an example. The bill applies each item's own GST rate. The invoice reaches Tally as a normal sales voucher, and the line keeps the cost and markup it was priced from, so a farmer's copy read at harvest time shows the price you agreed.
The full set of rules is in the AutoParts billing guide, and the screens are on cost-plus pricing for Tally.
Frequently Asked Questions
Q: What if a part was bought a year ago?
A: The app prices it from that purchase and shows the purchase date on the item's card, so you can decide whether to adjust the markup.
Q: Can the counter give a farmer a lower rate?
A: The person billing can type a different rate on the line, and the line keeps that rate, unless the owner has locked rates for staff.
Q: Do sales returns use the cost-plus price?
A: No. Credit notes do not take the AutoParts price; it applies on the sales side, such as invoices, quotations, sales orders and delivery challans.
