Contractor Dues: AI Collection Calls for Hardware and Building-Material Traders

AI collection calls for hardware and building-material traders keep a written record of every contractor's promise, so the next call starts from what they said last time. In Takkada, you open Send reminders now, tick the contractors, masons and small builders who are past their credit days, and tap Call with AI. An AI agent calls each one in the language you set, names your business and the amount due from your Tally books, and asks when they will pay. The answer is logged as a follow-up on that party: Will pay with an amount and date, No answer, Wrong number, Disputes amount or Refused, with a note and, once ready, the recording. If a contractor misses the date he gave, the AI can call him again on its own a set number of days later. For a trader selling cement, steel, pipes and fittings to builders on 45 to 90 day credit, the promises stop living in one person's diary.

How hardware credit actually runs

A hardware and building-material trader might have 120 to 200 active parties. Some are retail customers who pay at the counter. The rest are contractors, plumbers, electricians and small builders on 45 to 90 day credit, and that is where the money sits. A single contractor can owe ₹1,40,000 across a dozen bills for three different sites.

The contractor pays when his own client pays him. So every collection call ends in a promise that depends on someone else: "site ka payment aate hi, next week." Next week, it moves again. After three calls, nobody remembers what was promised first, and the contractor knows it.

The promise trail

Every AI call carries the party's total amount due, a summary of the bills, days overdue, the last payment received and, if there was one, the previous promise with its amount and date. If a contractor promised ₹50,000 by the 15th, the next call goes out with that promise in hand.

After each call, a new promise is saved only when the contractor gives both an amount and a date. Each new promise replaces the open one. With the Recovery dashboard on, its History tab shows the latest promise for that contractor, such as ₹30,000 by the 22nd, with its status. If he disputes a bill over a short delivery or a rate, the note holds the reason and the invoice he named. If he says he paid by cheque, the note holds the date and reference.

The automatic re-call

The setting "Call again when a promise is missed" is on by default. When a contractor does not pay what he promised, the AI calls him again a set number of days after the promised date. You choose the delay. The re-call is tagged AI · auto on the timeline, so you can tell it from a call you started.

A cap on AI calls per party per month, four by default, keeps the follow-up firm without turning into harassment. If most of your contractors are well past their terms, you can set the tone to Firm.

Where you see it

With the Recovery dashboard on, every AI call lands on the contractor's follow-up timeline, next to your own calls and visits, and its recording plays once it is ready. Without it, results show on the party's bills page under AI call results.

Frequently Asked Questions

Q: Does the AI know what the contractor promised last time?

A: Yes. Each call carries the party's previous promise, amount and date, when there is one.

Q: Can the AI accept a part payment promise?

A: Yes. Whatever amount and date the contractor commits to is saved as the promise, even if it is less than the full balance.

Q: Can I set different tones for different contractors?

A: The tone is one setting for your business, Polite or Firm. It applies to all AI calls.

Q: Will a missed promise always trigger another call?

A: Only when "Call again when a promise is missed" is on and the monthly call cap for that party has not been reached.
