AI payment reminder calls for pharma distributors take the first round of chemist follow-ups off your accounts desk. In Takkada, you open Send reminders now, tick the chemists who are past their credit days, and tap Call with AI. An AI agent calls each one in the language you set, names your business and the amount due from your Tally books, and asks when they will pay. The answer comes back as a follow-up on that chemist: Will pay with an amount and date, No answer, Wrong number, Disputes amount or Refused, with a note and, once ready, the recording. A dispute over an expiry return goes into the note with the invoice named. If a chemist misses a promised date, the AI can call again on its own a set number of days later. For a pharma distributor with a couple of hundred chemists on 30 to 60 day terms, every overdue account gets a clear ask and a written answer.
The pharma collection problem
A pharma distributor typically supplies 150 to 250 chemists and a few nursing homes, on 30 to 60 day credit. Bills carry many lines, and the balance on any account is rarely clean. Expiry returns are pending, a credit note for breakage has not been passed, or a rate was billed at the old PTR.
So a collection call to a chemist is rarely one sentence. "Bhaiya, ₹38,400 baaki hai" is met with "pehle expiry ka credit note bhejo." Your accounts person writes that on a slip, or remembers it, and the next person to call starts the same argument again.
What the AI call captures
Each call carries the chemist's name, the total amount due, a summary of the bills behind it, days overdue and the last payment received, all from your Tally books. The list you tick from shows the same overdue total as your Bills Receivable screen.
After the call, the follow-up holds the outcome from the same list your team uses. A promise is saved only when the chemist gives both an amount and a date. A dispute shows as Disputes amount, and the note carries the reason ("expiry credit pending") and the invoice the chemist named. If the chemist says the payment already went, the note holds the claimed date and reference. If they ask for a callback at a certain time, that becomes the next follow-up date.
Sorting the list after one round
Run one round of calls on Monday morning. By afternoon, the overdue list has split into clear groups. Chemists who promised a date need nothing until that date. Chemists who dispute the amount go to whoever handles returns and credit notes. Wrong numbers go to the salesman, who has the chemist's current mobile. Chemists who did not pick up get another try from the AI on the next calling day, if the automatic re-call is on.
With the Recovery dashboard on, all of this sits on each chemist's follow-up timeline, tagged AI, next to your team's own calls. Without it, the results show on the party's bills page under AI call results. An AI call's recording can be played once it is ready.
Settings that match a chemist's day
Chemists are at the counter all day, and the quiet hours are early afternoon. In the AI calling settings you set calling hours (10 to 6 by default), calling days (Monday to Saturday by default) and a cap on AI calls per chemist per month (four by default). You choose the language from twelve, and the tone, Polite or Firm. A callback number lets the chemist ring your accounts desk directly.

Frequently Asked Questions
Q: Can the AI settle a dispute about an expiry return?
A: No. It records the dispute, with the reason and the invoice the chemist names, so the right person in your team can resolve it.
Q: Does the AI quote the right balance after a credit note?
A: The amount comes from your Tally books. Once the credit note is entered in Tally and synced, the next call uses the updated balance.
Q: Will it call a chemist who asked not to be called?
A: No. A party who asks not to be called again is skipped, and the result sheet says "Asked not to be called".
Q: Can I limit how often one chemist is called?
A: Yes. Set the maximum AI calls per party per month, from 1 to 31. The default is four.
