Importing a bank statement into Tally for distributors means taking the CSV, XLS or XLSX file your bank already gives you and turning each line into a receipt, payment or contra entry that you check before it posts. In Takkada, you open Bank & Cash, pick the bank account and tap Import statement, then choose the file. Each line shows a suggested ledger, and you confirm it, change it, allocate it to bills, split a loan EMI into principal and interest, or mark it not applicable. Lines that look already recorded are flagged with the date and amount of the matching entry, so a cheque you entered by hand last week can be spotted before it posts a second time. When you are ready, Post resolved lines creates the entries, and any lines you have not finished stay saved for later. The posted entries are the same receipts and payments you would make in the app, and they go to Tally the same way.
What the bank account looks like at month end
A typical distributor sees 30 to 60 credits a week from retailers paying by UPI, NEFT and cheque, plus supplier payments, bank charges, a loan EMI and transfers to the cash account. In Tally, each one should be a receipt or payment against the right party, and ideally against the right bills.
The narration rarely helps. "UPI/CR/4321/SHREE GANESH" might be Shree Ganesh Traders or Shree Ganesh Kirana, and the accountant ends up matching credits against the ledger at nine at night before the month closes.
From the bank file to entries
In Bank & Cash, open the bank account and tap Import statement. Choose the file, up to 10 MB, and pick the date format if your bank writes dates month first. If the statement is password protected, enter the password your bank uses; the app uses it once to open the file and does not save it.
Select the bank ledger in Tally that this statement belongs to. If the account number in the file looks like a different account, the app warns you before you go further.
Resolving each line
The Resolve Bank Statement screen lists every line with what to do next:
- Confirm the suggested ledger, or Change ledger to pick another party or account.
- Allocate to bills, so a retailer's credit settles the right invoices.
- Split EMI for a loan instalment, entering principal and interest separately with an interest ledger.
- Not applicable for lines that should not be posted.
- Change the type when a line is a transfer between your own bank and cash accounts, or edit the narration.
When a line matches an entry already in your books by date and amount, it shows "Looks already recorded on" with that entry's date and amount, so check it before you post. A line already imported from an earlier statement is marked Possible duplicate and held back until you tap Post anyway.
When some lines are ready, the button reads Post and the number of resolved lines. The rest stay saved to finish later, and an import summary shows what was posted and what is still open.
What it does not do
The statement must be the bank's CSV, XLS or XLSX file. A photo or PDF of a statement is not read; the app asks for the spreadsheet file instead. The detailed walkthrough is on the Bank statement import page.
Bank imports sit alongside supplier bill imports, which the Import purchase from PDF page covers, and the guide to importing purchase bills into Tally explains the rest of the series.
