Customer Invoice Import for Businesses Moving to Tally

Customer Invoice Import for Businesses Moving to Tally

Customer invoice import lets a business moving to Tally bring in sales invoices it already issued from other billing software: you pick the PDF or photograph the printed copy, and the customer, items and tax are read off it for you to confirm. In Takkada, open the Sales register and tap Import from PDF or photo. You confirm who the invoice was billed to, map each line to your stock item in Tally, and the invoice lands on the same screen as one you key by hand, with the same sales ledger, voucher type, GST and round-off choices. The imported invoice keeps its own number and date, and your customer is not messaged, because they already have this bill. If the GST number printed on the document is not yours, the app asks what the document is instead of treating it as your sale. Invoices are imported one at a time, and each is checked by you before it is saved and goes to Tally.

The switch-over gap

A trader moving from a standalone billing app to Tally rarely switches on the first of April. More often the accountant sets up Tally in the middle of a month or a quarter, and the invoices already issued from the old software for that period still have to reach the new books. Without them, the customer ledgers in Tally start wrong, outstanding is understated, and the GST return for the period does not match.

The usual answer is to retype every one of those invoices. For a business issuing 10 to 20 bills a day, a fortnight's gap is a few hundred invoices of typing, with the customer, every item, the rate and the tax split.

Bringing an issued invoice across

Open Import from PDF or photo in the Sales register. Pick the PDF the old software produced, or take a photo of the printed copy. After "Reading your document…", the app shows what it read.

Who was this invoice billed to? shows the name printed in the Bill To block. Search by name or GSTIN to pick the customer, or create them as a new customer if they are not in Tally yet.

On the line screen, each item from the invoice is mapped to a stock item in your Tally. If two items in your Tally share a name, the app says so and asks you to pick the right one; nothing is chosen for you.

Then the invoice opens on the normal invoice screen, where you check the sales ledger, voucher type and totals and save it. The invoice number and date stay as printed on the original.

What to expect

Each invoice is its own import, so plan this for the gap period rather than for years of history. The work changes from typing an invoice to checking one, which is faster, and the original document is shown on the customer screen for comparison. Your customer hears nothing from it, which matters when the bill went to them weeks ago.

The Import purchase from PDF page shows the purchase side of the same import feature, and the guide to importing purchase bills into Tally covers the full series.
