Order Import from WhatsApp Photos for Wholesalers

Order Import from WhatsApp Photos for Wholesalers

Order import from WhatsApp photos for wholesalers starts with the photo a retailer already sends you: you bring it into Takkada and it is read into a draft sales order, with the items and quantities filled in for you to confirm against the picture. On an Android phone, share the photo from WhatsApp straight to Takkada. On an iPhone, save it to your photos and pick it with Choose from gallery. You can also tap Import from photo in the Sales orders register and photograph a paper order at the counter. Handwritten orders work if the whole page is photographed in good light. Takkada does not read your WhatsApp chats; the photo comes in only when you share or pick it. You then confirm which customer the order is from, match each line to your stock item, fix any quantity or rate it could not read, and land on the same order screen you use for an order typed by hand, where you save it.

How orders reach a wholesaler

A typical wholesaler in grocery, stationery or plastics serves 100 to 300 retailers on 15 to 30 day credit. Most orders arrive on WhatsApp: a photo of a notebook page, a printed list with ticks, or a few lines scribbled on the back of a bill. Salesmen forward more photos from the market.

Someone at the counter reads each photo and types the order into Tally or the billing screen, often while the next customer waits. Misread "12" as "2" and the retailer gets short supply. Skip a line at the bottom and nobody notices until the retailer calls.

From photo to sales order

Bring the photo in by sharing it from WhatsApp on Android, or with Choose from gallery. "Reading your document…" usually takes about ten seconds. If more than one kind of document is open to you, the app asks what this one is, and you pick the sales order.

Who is this order from? shows the name written on the order, so you can search and pick the customer. The photo is shown at the top of the screen so you can check against it.

Match the items lists each line read off the page:

  • Lines you mapped on an earlier order show "You mapped this before".
  • If a quantity cannot be read as a number, the app shows what was written, such as "two dozen", and asks you to enter a number.
  • A rate written on the order is marked "From the order". When your own rate for the item differs, a "Your rate" button puts it back.
  • If a line's written total does not match quantity times rate, it asks you to check the quantity and rate.

When the lines are done, tap Continue. The order lands on the same summary screen as one keyed by hand, with the same sales ledger choice and round-off, and you save it from there. Saved orders go to Tally as sales orders the same way.

What stays with you

The counter person still looks at every line against the photo. What changes is the typing: the app reads the page and you correct it, which is faster than starting from a blank order, and the picture is right there when a figure looks wrong. Some team members cannot change rates; if an item has no rate set for them, the app asks them to get the owner to set one.

The Import purchase from PDF page shows the purchase side of the same import feature, and the guide to importing purchase bills into Tally covers the series.

Frequently Asked Questions

Q: Does Takkada pick orders out of my WhatsApp automatically?

A: No. You share the photo to Takkada on Android, or save it and pick it from the gallery on iPhone. Nothing is read until you do.

Q: Will it read a handwritten order?

A: Yes, handwritten orders work. Photograph the whole page in good light with the sizes legible, then check each line against the picture.

Q: Which rate is used, the one written or mine?

A: A rate written on the order is marked From the order. If your own rate for the item differs, one tap on Your rate switches to it.

Q: Can I import several order photos at once?

A: Orders are imported one at a time, each with its own check.
