Batch billing for paint and lubricant dealers solves two counter problems: a painter who needs a touch-up from the same batch as last week, and engine oil that arrives at a new MRP before the old stock is gone. Takkada's Price by batch setting handles both from the phone. On a sales-invoice line, the Batch box lists each batch of that paint or oil with stock left in the godown, its MRP and Mfg date, and its expiry where Tally has one. Pick the batch and the line takes its rate: the batch MRP first, then the last rate that batch sold at, then the rate already on the line, and you can type over it. Two batches of one item go on two lines at their own rates. The PDF prints the batch under the item with its dates, and the bill reaches Tally with the batch on each line, so the next order can be matched to it.
Two trades, one shelf problem
You run a paint and lubricants counter that sells to 60 painters and contractors, 90 garages and a handful of fleet owners, most on 15 to 30 days of credit. Paint goes out in 1, 4, 10 and 20 litre packs, much of it tinted. Engine oil, gear oil and coolant go to garages by the carton.
Paint from two manufacturing batches can differ slightly in shade. A contractor who comes back for two more litres to finish a wall wants the same batch, and the only record of what he took is a handwritten slip, if anyone kept one. With lubricants, the company revises MRP often, and you hold old and new cans of the same grade side by side.
Batch on the bill
With Price by batch on, tap the Batch box on a sales-invoice line. For a 20-litre emulsion you might see:
EM2606, 4 left, withMRP ₹6,200 · Mfg 14-Jun-2026under itEM2609, 22 left, withMRP ₹6,450 · Mfg 02-Sep-2026under it
Pick the batch the contractor is taking and it prints on his bill. When he returns, open his last bill, read the batch, and pick the same one if stock is left. For engine oil, two lots with two MRPs show the same way, so the clerk sees which can is which before billing. Batches past an expiry date, where Tally has one, sit at the bottom in red.
The rate on the line
The batch MRP fills the rate first: as it is in an Incl. GST bill, with GST taken out in an Excl. GST bill. Painters, contractors and garages usually buy below MRP, so type your rate and the line keeps it, unless the owner has locked rates for staff. If your Tally batches carry no MRP, the line opens at the last rate you sold that batch at, then at the rate already on the line.
What the PDF and Tally show
The PDF prints EM2609 · Mfg 02-Sep-2026 under the item, with Exp added when the batch has one. Tally receives the batch on the sales voucher line, with its dates when known, with that line's rate, so the batch balance in your godown moves with each bill.
What it does not do
Batches come from the purchase entered in Tally, and the app does not create them. Tinting formulas, shade cards and machine data stay outside this. Price by batch works on sales invoices; sales orders and credit notes do not take the batch picker today. The batch-wise billing guide has the complete rules. Dealers who also stock medicines or sanitisers can see the Tally app for pharma distributors.
Frequently Asked Questions
Q: Can I find which batch a contractor bought last time?
A: Yes, when it was billed with the batch picked. The batch prints under the item on his bill.
Q: Does it show expiry for paint?
A: Only when Tally holds an expiry date for that batch. Mfg shows when Tally has it.
Q: Can one bill carry old-MRP and new-MRP oil?
A: Yes. Each batch goes on its own line with its own rate.
Q: Does the app manage tinting?
A: No. It bills the batch and pack you sell.
