How to Build a Load from Pending Orders and Print the Loading Sheet

To build a load from pending orders in Takkada, open Dispatch, tick the orders on the Orders tab, press Add to van, then open the van, set the vehicle, driver and drop order, and press Print the sheet. The picking list shows sales orders that still have quantity to send, from Tally and from the phone, grouped by shop and by beat if you use beats. The printed loading sheet can carry three blocks: a Load list with one row per item for the godown, a Load grid with drops down the side and items across, and Drop slips with one slip per shop for the driver. When the goods are on board, press Van is loaded so those orders come out of everybody's pending list. After the trip, Key back what went records what actually left, and a member with the Sales Invoice right bills the van from those quantities.

Before you start

Dispatch is an add-on; your partner or Takkada support can switch it on. An admin can check Settings › Dispatch, where Load the van from is normally Sales orders. If your sales orders are booked by salesmen in the field, taking sales orders on mobile is what fills the picking list.

Step 1: open the Orders tab

Tap Dispatch on the home screen. The first tab is the picking list, named Orders. It lists sales orders that still have quantity to send, newest first. Use Search shop or item, or the date chips, to narrow it.

Step 2: tick what goes on this van

Tick single orders, a shop heading for that shop's orders, or a beat heading for the whole beat. An order already on an open van appears greyed, tagged with the van and its salesman, and cannot be ticked. If you want a paper list of the ticked orders first, Print summary gives an Order Summary with blank Received and Remarks columns.

Step 3: add them to a van

Press Add to van (the button shows how many you ticked). If other vans are still being built, Takkada asks which one this is going on, with Start a new van as a choice. Nothing goes on a van except through this press.

Step 4: fill the van header

On the van page, enter Vehicle number and Driver, both optional, and add a salesman if the van is his. Whatever you fill prints on the sheet; blanks are left off.

Step 5: set the drop order

Drag drops into the order the van will visit them. Each shop becomes Drop 1, Drop 2 and so on, and that number is the same shop on every block of the sheet. To remove something, use Take lines off the van and the order goes back on the picking list.

Step 6: print the loading sheet

Press Print the sheet and choose the blocks. On the first print Load list and Drop slips are on, and after that your choice is remembered. Each block carries a Dispatched column printed as blank boxes, so the godown marks what actually went. Drop slips also carry Short / returned and Received by lines for the shop. Export the sheet to Excel sits in the van's More menu if you want a file.

Step 7: mark the van loaded

When the goods are on board, press Van is loaded. The stage chip changes from Building to Loaded.

After the trip

Press Key back what went. Lines are pre-filled with the quantity on the van; lower only the short ones and pick a reason under Why short?: No stock, Vehicle full, Shop refused, Damaged or Other. Save what went out. The shortfall stays pending for a later van. Then a member with the Sales Invoice right presses Make invoices, reviews one invoice per shop, and creates them. Frequently Asked Questions

Q: Can I build more than one van at a time?

A: Yes. Several vans can be open at once, and the Load/Dispatch tab lists them.

Q: Why is my picking list empty?

A: It shows only orders with quantity left to send. If Dispatch is set to load from challans or invoices, an admin must also set Offer documents dated from in Settings › Dispatch.

Q: Can I change the sheet after printing?

A: You can print the sheet again at any stage, and changes you make to the van show on the new print. Before key-back the Dispatched boxes print blank; after key-back they print the keyed quantities.

Q: Do I need a printer?

A: The sheet is a PDF, so you can print it or share it from the phone, and it also exports to Excel.
