How to Log a Follow-up and Promise-to-Pay from the Collections Report

To log a follow-up and promise-to-pay in Takkada, open the Collections report, tap the party, tap Mark followed-up, choose how you reached them and what happened, enter the promised amount and date, and tap Save follow-up + promise. The entry is saved against the party with your name on it, and your team sees it. If you leave the promise empty, the button reads Save follow-up and only the conversation is recorded. A promise takes an amount and a date together, and once that date passes, Takkada checks the party's receipts in your Tally books and marks it kept, part paid or missed. You need the Recovery dashboard switched on for your business. Without it, Mark followed up only hides the party on that phone for a short while, and nothing is logged. This guide walks through each step with the labels exactly as they appear on screen, then shows where the follow-up turns up afterwards.

Step 1: Open the Collections report

Go to Reports and tap Collections, the tile that says "Who owes you, and how many days each customer takes to pay." The same list sits inside the Collect tab, under Recovery, as the Parties tab. Bills Receivable works the same way if you prefer to start from bills.

Step 2: Open the party

Search or scroll to the party and tap the row. On the party's page, next to Call and WhatsApp chat, tap Mark followed-up. On a wide screen, the action panel shows Mark followed up under the Follow-up group.

Step 3: Read Already tried

The Log follow-up sheet opens with Already tried at the top: the last five entries on this party, each with who logged it, the outcome, the time and the note. Read it before you fill anything in. If a colleague spoke to the party an hour ago, your entry should build on that.

Step 4: Pick how you reached them

Under "How did you reach them?", choose Call, WhatsApp, In person or Other. Use Other for a promise that came through a third person, such as an agent, and say so in the note.

Step 5: Pick what happened

Under "What happened?", choose one: Will pay, No answer, Wrong number, Disputes amount, Refused or Other. Disputes amount is worth using honestly. It tells the next caller to sort out the bill before asking for money.

Step 6: Add the promise

Under "Promise to pay (optional)", enter the Amount ₹ and tap By date to pick the date. Fill both or neither. If you fill only one, the app says "Add both a promise amount and a date, or neither". Dates can be set up to a year ahead.

Step 7: Set the next follow-up and a note

Tap "Next follow-up (optional)" to choose when this party should come up again. Type anything worth keeping in "Note (optional)", such as "cheque with salesman, collect Thursday".

Step 8: Save

Tap Save follow-up + promise. A message confirms "Follow-up + promise logged for" the party, and the row leaves the list on that screen. If there is no signal, the app says the follow-up is saved on this device and will sync when the connection returns.

What happens after you save

On the next follow-up date, the party appears under Follow-ups due in that morning's daily brief on the Recovery screen. On the promised date, it appears under Promises due today. After the promised date, the party's receipts in Tally up to that date decide whether it reads Promise kept, Part paid or Promise missed. If your Tally data in Takkada has not caught up past the date, it shows Awaiting confirmation. On the History tab, the party's card shows your entry with "Promised ₹ by" the date and the next date.

Routine nudges between calls can go out as WhatsApp payment reminders from Tally. For the full Recovery screen, read the recovery dashboard for Tally guide.

Frequently Asked Questions

Q: Why does Mark followed up only hide the party?

A: The Recovery dashboard is not switched on for your business. With it on, the same button opens the Log follow-up sheet.

Q: Can I log a follow-up without a promise?

A: Yes. Leave the promise fields empty and tap Save follow-up.

Q: Can I edit a promise after saving?

A: Log a new follow-up with the new amount and date. The new promise replaces the party's open one for checking, and the old entry stays in the history, so everyone can see the date moved.

Q: Does the follow-up go into Tally?

A: No. It stays in Takkada. Your Tally receipts are read to check the promise.
