Recovery Tracking for Agri-Input Dealers with Seasonal Credit

Recovery Tracking for Agri-Input Dealers with Seasonal Credit

Recovery tracking for agri-input dealers means writing down every harvest-time promise when it is made, months before the money is due, and checking it against your receipts when the crop is sold. In Takkada, you tap Mark followed up on the retailer or farmer in Collections or Bills Receivable, choose how you reached them and what they said, and save a promise with an amount and a date up to a year ahead, so "₹85,000 after the paddy is sold, by 20 November" is on record from the day it is said. A next follow-up date brings the party back into the morning brief when the mandi opens. Once the promised date passes, Takkada adds up that party's receipts in your Tally books and marks the promise kept, part paid or missed. The daily brief lists missed promises each morning, and the Team tab shows which overdue parties nobody has spoken to all season. Your Tally books stay exactly as they are.

Credit that runs on the crop calendar

A typical agri-input dealer sells seed, fertiliser and crop protection to 200 to 500 parties, a mix of village retailers and large farmers. Most of it goes out on credit in June and July for kharif, and again in October and November for rabi. Payment comes after harvest, which means 90 to 180 days, and only if the crop and the mandi price both hold.

The promises are made at the counter in sowing season, often with a figure and a rough month. By harvest, the dealer is juggling four hundred of them from memory and a ledger that shows only the balance.

Recording the promise in sowing season

The Log follow-up sheet takes a promise as an amount and a date together. The date picker reaches a full year ahead, so a promise for after the rabi harvest fits. Add a note for the detail that matters at collection time, such as "pays after cotton sale, son handles money".

Above the form, Already tried shows the last five entries on that party, with who logged each, so the counter staff and the field man see the same history. If a field visit is in a low-signal village, the entry stays on the phone and syncs when the connection returns.

When harvest money starts coming in

Set the next follow-up date for the week the mandi opens. On that morning, the party appears under Follow-ups due in the daily brief at the top of the Recovery screen. Promises due today lists the parties whose promised date is today.

After a promised date passes, the party's receipts in Tally up to that date decide the status: all received reads Promise kept, some reads Part paid, none reads Promise missed. If Takkada's copy of your Tally data has not caught up past that date, the promise shows Awaiting confirmation until it does. In a busy harvest week, that keeps a farmer off the missed list while your books are still catching up.

The whole season at a glance

The Team tab shows Recovered, Still out, Dealers worked and Promises kept, and a Nobody has chased line counting overdue parties no one has logged a follow-up on. Tap it to see which ones. The History tab shows one card per party, latest activity first, with the newest entry, the number of logs and any open promise. Search a party and tap its card to read its last five entries.

Between visits, WhatsApp payment reminders from Tally can carry the routine nudges. The recovery dashboard for Tally guide explains each tab of the Recovery screen.

Frequently Asked Questions

Q: Can I log a promise for a date four or five months away?

A: Yes. The promise date can be set up to a year ahead, which covers a full crop cycle.

Q: What if a farmer pays only half by the promised date?

A: Once the date passes and the receipt is in Tally, the promise shows Part paid. Log a fresh follow-up with a new promise for the balance.

Q: Can my field staff log visits from villages with weak signal?

A: Yes. Without a connection the entry is saved on the phone and syncs once the signal is back.

Q: Does Takkada change my Tally ledgers?

A: No. Follow-ups and promises stay in Takkada. Takkada reads your Tally receipts to check whether each promise was kept.
