Recovery tracking for FMCG distributors works when every shop visit, call and promise your field collectors hear is written against the retailer on the spot, where the owner can read it the same day. In Takkada, a collector standing at the counter opens the retailer from Collections, taps Mark followed-up, picks In person and what happened, and can add the amount and date the shopkeeper promised, plus a note like "will pay after Diwali stock clears". Each entry carries the collector's name, so the office knows who visited and when. Every morning, the daily brief on the Recovery screen lists the promises due that day, the follow-ups due, the promises that were missed against your Tally receipts, and the biggest overdue retailers. The Team tab shows how much each collector has brought back and which overdue shops nobody has visited. Your Tally books stay as they are, and the visit history sits beside the outstanding.
A collection day across 350 retailers
A typical FMCG distributor runs six routes a week, with four collectors covering 300 to 400 retailers on 7 to 21 day credit. Bills are small, ₹3,500 here and ₹14,000 there, and a collector might stop at forty shops in a day. Half of them say "next week", and that answer used to live in the collector's diary.
The trouble shows up on Saturday. The owner asks which shops promised this week, and nobody can answer without phoning four people. A collector on leave takes his diary with him.
Logging the visit at the counter
The Log follow-up sheet is short enough to fill while the shopkeeper counts change. Pick In person, then Will pay, No answer, Disputes amount, Refused or Other. A promise needs both an amount and a date, so "₹6,200 by Friday" is saved as exactly that. A next follow-up date tells the brief when this shop should come up again.
Above the form, Already tried shows the last five entries on that retailer with names, so a collector knows the office already called this shop yesterday. Many villages on a beat have weak signal. If the phone has no connection, the entry is saved on the device and syncs when the collector is back in range.
What the owner reads at 9 in the morning
The daily brief sits at the top of Recovery, inside the Collect tab. Promises due today tells the collectors which shops to visit first. Missed promises lists retailers whose promised date has passed with no receipt in Tally. If Takkada's copy of your Tally data has not yet caught up past the promised date, the promise waits under Awaiting confirmation instead, so a shop is not marked as a defaulter on yesterday's books. A collector whose access is limited to his own routes sees only his retailers in the brief.
A Share on WhatsApp button sends the brief's text to the collectors' group, so the day's list reaches the field before the van leaves.
Seeing each collector's work
The Team tab shows Recovered, Still out, Dealers worked and Promises kept for the whole team, then one row per collector with the money that came back from shops after he first contacted them. The last line, Nobody has chased, counts the overdue retailers no one has logged a follow-up on. That line is usually where the oldest small balances hide.
Each retailer on the Parties tab shows the collector chasing it, or Not yet chased. When routes change, a company admin can move a shop to another collector.
Retailers who need a gentle nudge between visits can get WhatsApp payment reminders from Tally. For the full picture of the Recovery screen, read the recovery dashboard for Tally guide.
Frequently Asked Questions
Q: Do collectors need to carry a laptop?
A: No. The follow-up is logged from the phone app, from the retailer's page or the Collections list.
Q: What if a shop has no signal?
A: The entry is saved on the phone and syncs once the connection is back. The collector sees a message saying so.
Q: Can I see which collector logged a promise?
A: Yes. Each entry shows the name of the person who logged it on the retailer's timeline.
Q: Does the app mark a promise missed if the shop paid cash to the collector?
A: The check reads receipts entered in Tally, so the cash needs to reach your Tally books first. While Takkada's copy of your Tally data has not caught up past the promised date, the promise shows Awaiting confirmation rather than missed.
