Tally reports for distributors through one working day

The Reports screen on the phone is two lists. Financial Statements hold Trial Balance, Profit & Loss, Balance Sheet and MIS Reports. Action Reports hold Collections, Bills Receivable, Bills Payable, Sales Analytics, Customer Analytics, Cross-sell Gaps, Inventory, Purchase Analytics and Daybook. A working day that uses them well opens four or five, not all thirteen.

Morning is who still owes you and what this year has booked. Midday is whether today's vouchers posted, and how old the bills are. Evening is who bought and what moved. Month-end is the three statements the CA asks for, plus the 12-month MIS grid. Bills Payable, Inventory, Purchase Analytics and Cross-sell Gaps wait for a reason: a supplier payment, a stock promise, buying that looks off, a party lifting only half the catalogue.

Party search on every report is a search box. You type a name. Access to the Reports tab is permission-controlled per team member; a salesman without that permission does not see reports at all.

Morning: Collections Outstanding and This Financial Year

Tea at 8:30, before the first dispatch. Collections has two tabs. Outstanding opens first: who owes how much right now. The owner types Sharma in the search box and sees Sharma Kirana of Fancy Bazaar at ₹1,85,000, 47 days on 30-day terms. That is the call to make before the van leaves with fresh credit for the same counter. The deeper cut lives in the outstanding receivables report and on Outstanding receivables on mobile.

Outstanding answers who owes how much this morning. The Payment behaviour tab answers which customers pay late and how many days they take, and that tab unlocks with Reports+. Ageing on the phone is always as of today. Outstanding has no date you pick to rewind last Tuesday.

Above the action list, a This Financial Year band shows ten register totals: Sales Invoice, Sales Order, Purchase Invoice, Purchase Order, Receipts, Payments, Credit Note, Debit Note, Journal, Contra. Each total is tappable into its register. The owner taps Sales Invoice, sees ₹42,00,000 year to date, then taps Receipts and sees collection sitting behind. The band is this year's running total. It does not replace Profit & Loss, and it does not drill like a Balance Sheet.

Midday: Daybook and Bills Receivable

A salesman WhatsApps at 12:10: "12 bill ho gaye." The owner opens Daybook, sets Today, and taps the voucher-type chip onto Sales. Seven sales vouchers, not twelve. The rest are still in the salesman's notebook. The call happens before the van leaves again. Daybook is also the check against a daily sales report number somebody quoted from memory.

Daybook answers which vouchers hit the books in the window you chose. It has presets the other action reports mostly lack: Today, Yesterday, Last 7 days, Last 30 days, Custom, plus the voucher-type chip. Share it as PDF or as a CSV file.

Then Bills Receivable, ageing as of today. Sharma's ₹1,85,000 sits in whichever bucket 47 days falls into on your slabs. You can edit those slabs on the phone: add a divider, remove one, reset them. It has no past date. PDF and Excel export exist for Bills Receivable ageing, and a Tally-format export exists for the layout the CA expects.

Bills Payable is the same shape on the supplier side. Open it when you are about to issue a payment. Ageing there is also as of today. PDF, Excel and Tally-format export exist for Bills Payable too.

Evening: Sales Analytics and Customer Analytics

Nine PM, the godown locked, the owner still in the car. Sales Analytics goes past the sales register: which items moved, which parties bought. Reports+ unlocks it. The 1-litre mustard oil SKU that should have moved 40 cases this week moved 11. That is tomorrow's counter conversation. There is no salesman filter on this report, and no godown filter. Godown is its own report. PDF and Excel export sit behind a chooser sheet. The item wise sales report and the party wise sales report are the cousins of this view.

Customer Analytics answers who buys, how often, how much. Sharma Kirana lifts twice a week and tickets around ₹22,000. A party that used to lift weekly and has gone quiet shows up here before Outstanding does. Customer Analytics exports to PDF, with no Excel.

Cross-sell Gaps, also Reports+, lists items a customer should be buying and is not. Sharma takes rice and oil and has never lifted the new atta SKU. PDF and Excel export exist. Inventory is the stock-on-hand action report; its Velocity tab is the Reports+ piece, next to the stock summary report. Purchase Analytics, Reports+, is the buying-side pair, with PDF and Excel, next to the purchase report on mobile. Reports+ is a paid add-on bundled into the Copilot plan. Without it, Sales Analytics, Cross-sell Gaps, Purchase Analytics, the Payment behaviour tab and Inventory Velocity stay dark. The morning and midday stack, Trial Balance, Profit & Loss and Balance Sheet still open.

Month-end: Trial Balance, Profit & Loss, and MIS Reports

The second of the month, the CA asks for a Trial Balance. Financial Statements on the phone reads those numbers straight from the Tally books synced to the device. Trial Balance is a flat list. There is no drill-down from a Trial Balance line into a ledger. Group to sub-group to ledger is the Balance Sheet. When the synced books do not foot, the Balance Sheet shows a Difference row.

Profit & Loss is the same synced books, income against expense. The profitability report for distributors is the margin reading that sits beside it. Tally-format export, the layout Tally itself prints, exists for Trial Balance, Balance Sheet, Profit & Loss, Bills Payable and Bills Receivable. Profit & Loss and Balance Sheet export in that Tally format only for the current period.

MIS Reports show a 12-month grid with a total column. They are part of Reports+. There is no drill-down from an MIS cell into a voucher or a ledger. Use the grid to see whether August sales are the same shape as July, then open Daybook or Sales Analytics for the why. Sharing a report from the phone

The same Sharma who was ₹1,85,000 in the morning WhatsApps at 9:40: "bhai, statement bhej do." Every exported PDF or Excel goes through the phone's share sheet, where you pick WhatsApp, or email, or Drive. That is how a Trial Balance, a Bills Receivable ageing, a Sales Analytics sheet, or a Daybook PDF leaves the phone. On Daybook the other file is CSV.

A party's ledger statement and pending-bills statement can go from the party page, the bills page and the ageing report, in two ways.
