Garage Credit: AI Collection Calls for Auto Parts Dealers

AI collection calls for auto parts dealers take the daily follow-up with garages and mechanics off your counter. In Takkada, you open Send reminders now, tick the garages, workshops and fleet owners who are past their credit days, and tap Call with AI. An AI agent calls each one in the language you set, names your shop and the amount due from your Tally books, and asks when they will pay. The answer is logged as a follow-up on that party: Will pay with an amount and date, No answer, Wrong number, Disputes amount or Refused, with a note and, once ready, the recording. A mechanic who could not pick up gets another try the next calling day. If a garage promises a date and misses it, the AI can call again on its own a set number of days later. For a parts dealer with a long list of small garage accounts, every overdue bill gets asked about without taking your staff away from the counter.

How garage credit builds up

An auto parts dealer selling to garages might have 150 to 250 active accounts. Most are small workshops buying filters, brake pads, clutch plates and bearings two or three times a week, on 15 to 30 day credit. Each bill is small, ₹1,200 or ₹4,800, but the account runs to ₹35,000 by month end. A few fleet owners and bigger workshops owe ₹1,50,000 or more.

The mechanic is the hardest party to reach. He is under a vehicle with greasy hands when the phone rings, and the garage owner is out test-driving a car. Your counter staff call once, get no answer, and move on to the next customer at the counter.

A round of calls, then another

Send reminders now lists every party with an overdue amount, showing the overdue total, the number of overdue bills and the age of the oldest bill. The overdue total matches your Bills Receivable screen, so the garage hears the same figure your ledger shows. Tick the overdue garages, tap Call with AI, and confirm the number of parties and the cost on the sheet before tapping Call now.

Results come back on each party. Garages that promised a date need nothing until then. Garages that dispute a bill, say over a part returned as wrong fitment, show Disputes amount with the reason and the invoice in the note. A party with a call already queued is skipped and named on the result sheet, so nobody gets two calls at once.

Calling hours for workshop hours

Garages are busiest in the morning when vehicles come in and in the evening when they go out. In the AI calling settings you set the calling hours (10 to 6 by default) and the calling days (Monday to Saturday by default). Many workshops are open on Sunday, and you can add it.

A cap on AI calls per party per month, four by default, stops a small garage from getting a call every other day. Tone is Polite or Firm, and the callback number lets the mechanic ring your counter when his hands are free.

Where the results show

With the Recovery dashboard on, each AI call sits on the garage's follow-up timeline, tagged AI, next to your staff's own calls, and Recovery's History tab shows the latest promise with its amount and date. Without it, the results show on the party's bills page under AI call results. An AI call's recording plays from the timeline once it is ready.

Frequently Asked Questions

Q: What happens when the mechanic does not pick up?

A: With "Call again when a promise is missed" on, the AI tries that garage again on the next calling day, within your calling hours and the monthly AI call cap. You can also tick it again yourself in a later round.

Q: Can the AI call on Sunday?

A: Yes. Calling days are chips from Monday to Sunday in the AI calling settings. Sunday is off by default, and you can switch it on.

Q: Will the AI call a garage twice at the same time?

A: No. If a call is already queued for a party, that party is skipped and the result sheet says "A call is already queued".

Q: Does the AI quote the right amount?

A: The amount comes from your Tally books, the same overdue total you see on Bills Receivable.
