A recovery dashboard for building-material suppliers keeps each contractor's calls, site visits, disputes and promised dates in one place, so your team chases the right contractor with the right story. In Takkada, you tap Mark followed up on the contractor in Collections or Bills Receivable, pick how you reached them and what happened, and save a promise as an amount with a date, such as "₹1,40,000 when the builder clears the RA bill, by the 28th". When a contractor holds payment over a rate difference or broken tiles, Disputes amount with a note keeps that reason visible to everyone. Once the promised date passes, Takkada checks the contractor's receipts in your Tally books and marks the promise kept, part paid or missed, and the missed ones appear in the next morning's daily brief. The Team tab shows how much each person has recovered and which overdue contractors nobody has followed up. Your Tally books are untouched.
Why contractor money comes in late
A typical cement, steel, tiles or sanitaryware supplier sells to 80 to 200 contractors and small builders on 30 to 60 day credit. A single site can run up ₹3 lakh to ₹12 lakh in a few months. The contractor pays when his builder releases a running bill, and he rarely picks up when he knows you are calling about money.
Then there are the disputes. A rate agreed on the phone does not match the bill, ten boxes arrived broken, or the site engineer has not signed the delivery challan. Each of these is real, and each stops payment until someone sorts it out.
Logging what the contractor said
The Log follow-up sheet takes Call, WhatsApp, In person or Other, then one outcome: Will pay, No answer, Wrong number, Disputes amount, Refused or Other. A promise needs both an amount and a date. The note holds the detail, like "rate difference on 40 bags, owner to call him".
Above the form, Already tried shows the last five entries on that contractor, with who logged each, the outcome and the time. When the owner and the accountant both chase the same large contractor, each sees what the other heard.
Promises checked against your receipts
After the promised date, the contractor's receipts in Tally up to that date decide the status. Full amount received reads Promise kept, part reads Part paid, nothing reads Promise missed. If Takkada's copy of your Tally data has not caught up past the date, the promise shows Awaiting confirmation until it does.
The daily brief at the top of the Recovery screen lists Promises due today, Follow-ups due, Missed promises, Awaiting confirmation and Top overdue each morning. Use Share on WhatsApp to send it to the person who visits sites, and the day's list goes with him.
Who owns each contractor
Each contractor on the Parties tab shows the name of the person chasing him, taken from the last follow-up, or Not yet chased. A company admin can move a contractor to another person. The Team tab shows Recovered, Still out, Dealers worked and Promises kept, and a Nobody has chased line that counts the overdue contractors with no follow-up at all.
The History tab shows one card per contractor, latest activity first, with the newest entry, how many logs there are and any open promise. Tap a card to read that contractor's last five entries, so when he says "I told your man already", you can check what was logged.
For the routine nudges, WhatsApp payment reminders from Tally work alongside the follow-up log. The recovery dashboard for Tally guide covers the Recovery screen in full.
Frequently Asked Questions
Q: How do I record a rate dispute?
A: Log the outcome as Disputes amount and write the details in the note. It shows on the contractor's timeline for anyone who calls next.
Q: Can I log a promise tied to the builder's payment date?
A: Yes. Enter the amount and the date the contractor gave you. Once that date passes, Takkada checks your Tally receipts.
Q: Can two people chase the same contractor without clashing?
A: Each entry shows who logged it, and the contractor shows one person as the one chasing him. An admin can change that person.
Q: Does any of this go into Tally?
A: No. The follow-up record stays in Takkada, and your Tally receipts are only read to check promises.
