A recovery dashboard for pharma distributors keeps a chemist-wise record of every call, visit and promise, so whoever picks up the phone knows what the last person heard. In Takkada, you tap Mark followed up on a chemist in Collections or Bills Receivable, choose how you reached them and what happened, and add the promised amount and date if the chemist gave one. When a chemist holds payment over an expiry return or a short supply, Disputes amount with a note like "waiting for credit note on batch return" keeps that reason on record, so the next caller does not ask for money that is stuck on your side. Once a promised date passes, Takkada checks the chemist's receipts in your Tally books and marks the promise kept, part paid or missed. The daily brief at the top of the Recovery screen lists each morning's promises due, follow-ups due and missed promises, and the Team tab shows which overdue chemists nobody has chased.
A pharma distributor's receivables
A typical pharma distributor supplies 150 to 250 chemists and a handful of nursing homes on 21 to 45 day credit. Bills run from ₹2,000 to ₹60,000, and a large chemist may have twelve open bills at once. Payment often comes by cheque, collected by the salesman on his next visit.
What makes pharma recovery slow is the dispute. A chemist sends back near-expiry stock, the credit note takes two weeks, and the chemist will not clear the bill until it arrives. Meanwhile the accountant calls about the bill, the salesman visits about the same bill, and the chemist tells both of them the same story.
One timeline per chemist
When you open the Log follow-up sheet on a chemist, Already tried shows the last five entries with who logged each one, the outcome, the time and the note. If the salesman logged "Disputes amount, return pending on two batches" on Monday, the accountant sees it before dialling on Wednesday.
Pick Call, WhatsApp, In person or Other, then the outcome. A promise needs an amount and a date together: "₹24,500 by the 15th, cheque with salesman" is saved exactly so. Set a next follow-up date for the day the credit note is due, and the chemist appears under Follow-ups due in that morning's brief.
Promises checked against Tally receipts
After the promised date, the chemist's receipts in your Tally books up to that date settle it. All of it received reads Promise kept, part of it reads Part paid, none reads Promise missed. Only receipts dated on or before the promised date are counted. If Takkada's copy of your Tally data has not yet caught up past the promised date, the promise waits as Awaiting confirmation.
The History tab shows one card per chemist, latest activity first, with the newest entry, how many logs there are and any open promise. Search a chemist or filter by team member, then tap the card to read that chemist's last five entries.
Seeing the whole book
The Parties tab is your Collections report with follow-ups built in, and Bills is your Bills Receivable list, so bill-wise and chemist-wise views sit side by side. Habits shows how each chemist has paid over time, if your plan includes Reports+. Team shows Recovered, Still out, Dealers worked and Promises kept, then each person's figures, and Nobody has chased lists the overdue chemists with no follow-up at all.
Routine reminders can go out on WhatsApp through payment reminders from Tally, and the follow-up log records what happened when a person stepped in. The recovery dashboard for Tally guide covers every tab in detail.
Frequently Asked Questions
Q: Can I record that a chemist is waiting for a credit note?
A: Yes. Log the outcome as Disputes amount and write the reason in the note. It shows on the chemist's timeline for the next person who calls.
Q: Does a post-dated cheque count as a promise?
A: Log it as a promise with the cheque amount and the cheque date. Once the date passes, Takkada checks for the receipt in Tally.
Q: Will the salesman and the accountant see each other's entries?
A: Yes. The log is shared, and every entry shows the name of the person who logged it.
Q: Is anything written back into Tally?
A: No. Follow-ups and promises stay in Takkada. Takkada reads your Tally receipts to check each promise.
