Sales Analytics from Tally for Distributors: Beyond the Sales Register

You can get sales analytics from Tally data as a distributor that go past the sales register: which items moved and which parties bought, read on the phone from Action Reports. Sales Analytics unlocks with Reports+, a paid add-on bundled into the Copilot plan. PDF and Excel export sit behind a chooser sheet, and every exported file goes through the phone's share sheet, where you pick WhatsApp, email or Drive. A Guwahati FMCG owner at 9 PM, godown locked, still in the car, opens sales analytics tally and sees the 1-litre mustard oil SKU at 11 cases on the books now. He knows a usual run is 40. The daily sales report already told him today's rupee total. This screen names the SKU. There is no salesman filter and no godown filter. Party search is a search box. You type a name.

What sales analytics can I get from Tally data as a distributor?

From the Tally books synced to the phone, Sales Analytics shows which items moved and which parties bought. That is the sales analytics a distributor actually uses after the register has already totaled the day. The register answers how much. This report answers what and who.

It lives under Action Reports, in the same list as Collections, Bills Receivable, Bills Payable, Customer Analytics, Cross-sell Gaps, Inventory, Purchase Analytics and Daybook. Financial Statements hold Trial Balance, Profit & Loss, Balance Sheet and MIS Reports. Evening is when this one earns its slot, after Outstanding at 8:30 and Daybook at noon, as the daily checklist for Tally reports lays out.

The cousins on the site are the item wise sales report and the party wise sales report. Those posts are the Tally habit. This screen is that habit on the phone, in one Action Report.

Sales analytics tally beyond the sales register

A sales register filtered to today is a list of vouchers. Useful at 7 PM when someone claims twelve bills and Daybook shows seven. Useless at 9 PM when the question is why the mustard-oil stack is still full. Sales analytics tally is the cut that names the SKU and the party.

Item movement is the reorder question. 11 cases of 1-litre on the books now, against a usual 40, is a purchase hold, or a scheme, or a salesman who stopped putting it on the counter. Party buying is the credit question. Sharma Kirana of Fancy Bazaar still tickets around ₹22,000 when he lifts. A party who used to lift weekly and has gone quiet shows here before Outstanding does, because Outstanding only wakes you when the old bills are still open.

Most action reports have no date filter. Daybook has Today, Yesterday, Last 7 days, Last 30 days and Custom, plus a voucher-type chip. Ledger statement and godown reports have This FY, This Quarter, This Month, Last Month, Last FY and Custom. Sales Analytics is an action report. Treat it as the books standing now, not a March rewind.

Party search is a search box. Type Sharma. There is no picker and no multi-select.

Mustard oil at 11 cases, 9 PM in the car

The godown locked at 8:40. The owner is still in the car on the GS Road stretch. He opens Sales Analytics because the stack he walked past looked untouched. 1-litre mustard oil stands at 11 cases on the books now. The godown still looks like a 38-case run, and a usual week is 40. The daily sales report for today still looks fine, because rice and atta carried the rupee total. The SKU did not.

Tomorrow's counter conversation is specific. Sharma takes oil when it is on the floor. If Raju stopped putting it down, that is a beat problem. If Sharma switched to a cheaper tin from another van, that is a price problem. The report named the SKU. It did not name Raju. There is no salesman filter on this report. Godown is its own report, next to the stock summary.

A second SKU, the new atta, moved 4 bags. Cross-sell Gaps, written up as items a customer is not buying, is the follow-up: Sharma takes rice and oil and has never lifted atta. Sales Analytics told you atta is slow. Cross-sell tells you who never started.

Parties who bought, and parties who went quiet

Sharma Kirana, twice a week, tickets around ₹22,000. Das Stores, smaller outstanding, lifts in 12 days, tickets around ₹8,000. A third party the owner knows used to lift every week is quiet on the books now. Customer Analytics, on who buys, how often, how much, is the dedicated who-buys screen. Sales Analytics is where the owner first notices the quiet name because the item rows for that party went flat.

Outstanding will not flag a party who paid up and then stopped lifting. Behaviour will not either, because there is no late clock if there is no open bill. Sales Analytics will, if you look at who bought. That is why it sits in the evening, not at 8:30.

Access to the Reports tab is permission-controlled per team member. A member without that permission does not see reports at all, including this one. The owner who lets Raju bill from the phone and keeps Reports off for him is choosing that on purpose.

The wider set of Tally reports on mobile is how the phone reads the same Tally books. Sales Analytics is the evening member of that set.

PDF, Excel, and the share sheet

The purchase manager WhatsApps at 9:10: "oil ka number bhej do." PDF and Excel export exist for Sales Analytics, behind a chooser sheet. You pick the file type, then the phone's share sheet, then WhatsApp, or email, or Drive. That is how the sheet leaves the phone. There is no separate one-tap WhatsApp button on this report.

The same chooser exists for Trial Balance, Profit & Loss, Balance Sheet, Bills Receivable ageing, Bills Payable ageing, MIS, Payments, Purchase Analytics, Cross-sell Gaps and Inventory Velocity. Receivables Ageing and Customer Analytics export to PDF only. Daybook shares as PDF or as a CSV file. Sales Analytics is on the chooser list.

A party's ledger statement is a different document. Sharma's "bhai, statement bhej do" is the party-page path, not this sheet.

What this report does not do

It does not replace Daybook. Twelve bills versus seven is still Daybook, Today, voucher-type chip on Sales. It does not replace Outstanding. ₹1,85,000 on Sharma is still Collections. It does not replace Profit & Loss. Margin for the period is still that statement.

It does not filter by salesman. It does not filter by godown. It does not let you pick last Tuesday unless you are on a report that actually has date presets, and this one is not Daybook.

Purchase Analytics is the buying-side pair, next to the purchase report on mobile. Inventory Velocity is the stock-speed tab. Those are evening reports for a different question. Open Sales Analytics when the question is what moved and who bought.

Monday reorder from 11 cases of oil

Monday 7:40 AM, the purchase manager is already in the godown. The owner forwards yesterday's Sales Analytics Excel from the share sheet, WhatsApp, 9:11 PM sitting. The 1-litre mustard oil line is 11. The usual week is 40. Rice is fine. Atta is 4. The reorder list on the concrete floor is rice yes, oil wait, atta wait.

If they had reordered oil on Saturday because the stack "looked low," they would have bought a slow week at the old rate. Sales analytics tally caught the 11. The stack looked low because the last full run had not been replaced, and 11 on the books now does not need replacing. That is a ₹1,20,000 purchase that can sit until the counter actually pulls tins again.

The purchase manager still wants a supplier name. That is Purchase Analytics, not this screen. This screen named the SKU. Sharma Kirana of Fancy Bazaar still takes oil when it is on the floor. The gap between 11 and 40 might be Raju's beat, or a cheaper tin from another van. The owner finds out at the counter. He does not find out from a salesman chip, because there is none.

By 8:30 he is on Outstanding for Sharma's ₹1,85,000. The oil decision is already on the challan from 7:40. Two sittings, two reports. Mixing them is how a credit hold becomes a dead SKU and nobody can say which.

Frequently Asked Questions

Q: What sales analytics can I get from Tally data as a distributor?

A: From Tally data as a distributor you can get Sales Analytics on the phone: which items moved and which parties bought, past the sales register. It sits in Action Reports and reads the Tally books synced to the device. PDF and Excel export sit behind a chooser sheet.

Q: Is sales analytics tally the same as the sales register?

A: No. The sales register, and the daily sales report built from it, totals today's vouchers. Sales analytics tally names the SKU and the party. Mustard oil at 11 cases on the books now, against a usual 40, is the kind of line the register will not highlight if rice carried the rupee total.

Q: Can I export Sales Analytics from Tally to Excel on the phone?

A: Yes. Sales Analytics offers a PDF and Excel chooser. Every exported PDF or Excel goes through the phone's share sheet, where you pick WhatsApp, email or Drive. Receivables Ageing and Customer Analytics export to PDF only. Daybook shares as PDF or as a CSV file.

Q: Can I filter Sales Analytics by salesman or godown?

A: No. There is no salesman filter and no godown filter on this report. Godown is its own report. Party search is a search box. You type a name. Access to the Reports tab is permission-controlled per team member.

Q: Does Sales Analytics on the phone have a date filter?

A: Sales Analytics is an action report, and most action reports have no date filter. Daybook has Today, Yesterday, Last 7 days, Last 30 days and Custom, plus a voucher-type chip. Ledger statement and godown reports have This FY, This Quarter, This Month, Last Month, Last FY and Custom.

Q: Where do I open Sales Analytics from Tally on my phone?

A: Open Reports, then Action Reports, then Sales Analytics. Type a party name in the search box to land on that ledger. Item movement and party buying are the two cuts a distributor uses after the sales register has already totaled the day.
