Send a Statement from Your Own WhatsApp or from the Business Number: What Changes

Send a Statement from Your Own WhatsApp or from the Business Number: What Changes

You can send a Tally ledger statement from your own WhatsApp number by choosing Send from my WhatsApp on the party page, the bills page or the ageing report. That path opens your own WhatsApp with the message pre-filled, and the PDF goes through the share sheet. A statement from your own WhatsApp number therefore leaves as your chat, with your saved name on Sharma Kirana's phone. The other path uses the Takkada business number, where the app shows the message as queued. A Guwahati FMCG owner at Fancy Bazaar at 9:40, Sharma at ₹1,85,000 asking "bhai, statement bhej do," picks one of those two. Settings › Statements still decides whether the PDF is Ledger Account or Pending Bills, plus Include details. Report PDFs such as Trial Balance use the share sheet only, with no business-number queue.

Can I send a Tally ledger statement from my own WhatsApp number?

Yes. Send from my WhatsApp opens your own WhatsApp with the message pre-filled. The PDF of the ledger statement, or of the pending-bills statement, goes through the phone's share sheet after that. That is a statement from your own WhatsApp number: Sharma's chat list shows the number he already has saved, and the file rides the same share sheet a report PDF uses.

The other path is the Takkada business number. The app shows the message as queued. It does not open your personal WhatsApp. The retailer may see a number that is not the shop number saved for eleven years. Pick the path on purpose.

The document itself is still Settings › Statements: Ledger Account or Pending Bills, plus Include details. The pending bills versus full ledger post is which PDF to attach. This post is which WhatsApp the message leaves from. The feature page for ledger statement on WhatsApp is the product view of the same party-document path.

Party search is a search box. You type a name. Ledger statement date presets are This FY, This Quarter, This Month, Last Month, Last FY and Custom. Ageing, when you start the send from that report, is always as of today.

Send from my WhatsApp: your chat, share sheet for the PDF

Send from my WhatsApp does two things in order. First it opens your own WhatsApp with the message already typed. Then the PDF goes through the share sheet, where you pick the same chat (or Files, or Drive, if you abort). The deep link carries the text. The file rides the share sheet. Treat them as two steps even though they belong to one control.

A worked sitting at 9:40. Sharma Kirana, Fancy Bazaar, ₹1,85,000. Open the party. Send from my WhatsApp. Your WhatsApp opens, message pre-filled, usually the outstanding and a short line. Share sheet, PDF, Sharma's chat. He already has that number saved as the shop. The notification looks like every other message you have ever written him.

This is the path for a pavement send when you want the chat history sitting under the file. It is also the path when you want to add a line before the message leaves, because the chat is yours. It is the path that needs the phone's WhatsApp installed and logged in as the number you want Sharma to see.

On the web app, a manual WhatsApp send carries the message text only, also copied to clipboard. The PDF attachment is a phone-only behaviour. Send from my WhatsApp with a PDF is a phone sitting. The share a Tally report as PDF on WhatsApp post covers the same share sheet for report files such as Trial Balance.

The Takkada business number: the app shows queued

From the Takkada business number, the app shows the message as queued. That word is the status. The PDF and the text are handed to that number's send path, and the app shows queued rather than a personal WhatsApp window.

Use this when you want the send to go out without opening your own chat, or when the person holding the phone should not be mixing Sharma into their personal WhatsApp. The owner at Fancy Bazaar can queue it and keep walking. A salesman on the same party screen can queue it without the file landing in his family chat list.

Queued means the app has accepted the job. It does not mean you watched Sharma's double tick. If the number is not yet live, or the job is still in the queue, wait. Do not tell Sharma it already left because the button felt final.

Report PDFs do not use this queue. Trial Balance, ageing Excel, Daybook CSV all go through the share sheet only. The business-number path is for the party's ledger statement and pending-bills statement.

Bank details print on the statement from the company's default bank. They appear in reminder text only when there is no payment link. That print behaviour is the same on both WhatsApp paths. Settings › Statements does not grow a second bank toggle for the business-number path.

Where both paths start

A party's ledger statement and pending-bills statement can be shared from three screens: the party page, the bills page and the ageing report. Both Send from my WhatsApp and the business-number path live on those three. The how to share a ledger statement from Tally post still walks the desktop export for the days you are at the PC. On the phone, start from one of those three screens.

The Reports tab is permission-controlled per team member. A member without that permission does not see reports at all. He may still open a party and use the statement controls. Do not train the team that "WhatsApp statement" lives under Reports. It lives on the party.

The daily stack of Tally reports for distributors still matters in the morning. Outstanding tells you Sharma is ₹1,85,000. The statement path is how that number becomes a PDF in a chat. Mixing the two screens is how a Trial Balance PDF lands in Sharma's chat when he asked for pending bills.

What Sharma sees when the chat opens

From your own WhatsApp, Sharma sees the shop number he has saved, sitting on years of rate lists and festival forwards. The PDF is an attachment in that thread, after you picked it on the share sheet. He opens it because the sender line is you.

From the business number, Sharma sees whichever number that path uses. If it is unfamiliar, the preview competes with loan blasts. The file can still be the right pending-bills PDF. Whether Sharma opens it still depends on the sender line, the same way payment reminders from your own WhatsApp number describe for reminders. Queue anyway when the team should not use personal WhatsApp. Pick Send from my WhatsApp when the saved shop chat is the point.

Include details, if on, puts line items and narration in the PDF. Sharma at 9:40 often wanted the unpaid bills, not every SKU on invoice 1847. Match Settings to the question before either path.

A salesman standing next to you can queue on the business number while you keep walking to the next counter. He should not pick Send from my WhatsApp on his personal login if Sharma is supposed to see the shop number. The pre-filled message will still look like a statement. The sender line will look like the salesman's family chat. Walk the two controls with the team once, at 8:30, before the first pavement send of the week.

Reminders from your own number are a separate setup

Send from my WhatsApp on a statement opens the WhatsApp already on the phone. Moving the shop number onto the WhatsApp Business API so reminders leave as that number is a different product path, early access, with the honest cost that the number then leaves the ordinary handset app. Read payment reminders from your own WhatsApp number before anyone treats statement-send and reminder-API as one switch.

A statement from your own WhatsApp number, in this post, means Send from my WhatsApp plus the share sheet. A reminder from your own API number is the add-on in that other post. Both care about whose name Sharma sees. They are set up in different places.
