You can export a trial balance in Tally format from your phone for your CA, from Financial Statements, using Tally-format export, the layout Tally itself prints. Profit & Loss and Balance Sheet export in that Tally format only for the current period. What tally format export actually is

Tally-format export is the layout Tally itself prints, as a file, from the phone. The CA has been reading that layout for years. A screenshot of a scroll is not that layout. A PDF the phone designed for a small screen is a different file. Tally format is the one that looks like the print from the desktop, which is why the CA names it.

On the second of the month that is the whole request. "TB Tally format mein bhej do." The owner does not need to ride back to the office desktop if the report is one of the five. For Profit & Loss and Balance Sheet, the period rule below also has to hold. The numbers in the file are the Tally books synced to the phone, the same books as the trial balance on the phone and the Balance Sheet drill.

A screenshot of the Trial Balance scroll, sent at 9:12, comes back at 9:18: "Tally format chahiye." The CA is not being difficult. His working is built on that print. Tally-format export is how the phone gives him that print without the office chair.

The working-day context for when you open those statements is the daily checklist for Tally reports. Export is the last step, after you have read the list and, on Balance Sheet, confirmed there is no Difference row you still need to face in Tally.

The five statutory reports

The five, named exactly: Trial Balance, Balance Sheet, Profit & Loss, Bills Payable, Bills Receivable. Those five, and only those five, offer Tally-format export.

Trial Balance is the flat list the CA asks for first. Balance Sheet is assets and liabilities with group to sub-group to ledger. Profit & Loss is income against expense for the period. Bills Receivable is what parties owe, in the statutory bills shape. Bills Payable is what you owe suppliers, in the same shape on the other side.

At 9:40 the CA adds "BR, BP bhi." Both are on the five. Both leave through the share sheet. Neither is Daybook. Neither is MIS. The owner who already has Trial Balance open can finish the CA's list from the same Reports screen without a ride across Guwahati.

Daybook is not on the list. MIS Reports is not on the list. Sales Analytics is not on the list. If the CA asked for a Daybook in Tally format from the phone, the honest answer is PDF or CSV from Daybook, or the desktop. Do not promise a sixth report.

Bills Receivable in this layout is the statutory bills file, next to the ageing reading on the aging report in Tally. Ageing on the phone is always as of today. The Tally-format file is the layout the CA files, not the slab view you use at 8:30.

The current-period rule for P&L and Balance Sheet

Profit & Loss and Balance Sheet export in Tally format only for the current period.

So the 9:25 WhatsApp that says "last year ka P&L Tally format" is still a desktop job. The WhatsApp that says "is period ka P&L" can leave from Fancy Bazaar. Same for Balance Sheet. Current period on the phone. Earlier periods from Tally on the desktop.

PDF and Excel export still exist for Profit & Loss and Balance Sheet behind the chooser sheet. The current-period rule applies to Tally-format export of those two statements. The CA who wants last year's P&L in the layout Tally itself prints still opens Tally on the desktop.

Sending the file from Fancy Bazaar

Every exported PDF or Excel goes through the phone's share sheet, where you pick WhatsApp, or email, or Drive. The Tally-format file takes the same door. At 9:20 the owner picks WhatsApp, sends the Trial Balance, and stays at the counter. At 9:30 the current-period P&L follows, from the profit and loss statement on mobile.

Email is the CA who refuses WhatsApp files. Drive is the accountant who wants the TB in a folder named August. The share sheet is the door. The phone does not send the PDF behind your back. You pick the app on the sheet, at Fancy Bazaar, then send before lunch on the second of the month.

A party's ledger statement is a different send. Sharma's "bhai, statement bhej do" is the party page, the bills page or the ageing report, with how to share a ledger statement as the walk-through. Tally-format export is for the five statutory reports, not for Sharma's ledger. The CA wants the TB. Sharma wants his own bills.

Access to the Reports tab is permission-controlled per team member. A salesman without that permission does not export these files, because he does not see the reports.

Tally format next to the PDF and Excel chooser

PDF and Excel export exist for Trial Balance, Profit & Loss, Balance Sheet, Bills Receivable ageing, Bills Payable ageing, MIS, Payments, Purchase Analytics, Sales Analytics, Cross-sell Gaps and Inventory Velocity. That chooser is a different path from Tally-format export. The CA who wants Tally format wants the five-report list above, not the Excel sheet.

Receivables Ageing and Customer Analytics export to PDF, with no Excel. Daybook shares as PDF or as a CSV file. Those limits stay. Tally-format export does not extend to them.

The phone reading of Tally reports on mobile is the books. Tally-format export is how five of those reports leave the phone in the layout the CA already knows.

What this export does not cover

It does not cover last-period P&L or Balance Sheet in Tally format. It does not cover Daybook, MIS, Sales Analytics, or a ledger statement. It does not put a PDF onto WhatsApp without the share sheet. You pick WhatsApp on the sheet after the file is made.

If the Balance Sheet shows a Difference row, finish Tally first. A Tally-format Balance Sheet of books that do not foot is a file the CA will send back. The phone reads the synced books. It does not foot them for you.

Bills Receivable and Bills Payable in Tally format

The CA's second WhatsApp, after the Trial Balance, is often the bills. Bills Receivable and Bills Payable sit on the five-report list. The owner at Fancy Bazaar can send those Tally-format files through the same share sheet, after he has read ageing as of today on the phone.

Ageing on the phone is always as of today. The Tally-format bills file is the layout the CA files. The slab view you edit on the phone, adding or removing a day divider, is a different screen, remembered per company on that device. Send the CA the Tally-format bills file. Use the slabs yourself at 8:30 to decide who to call. The receivables ageing on the phone is that slab reading.

Bills Payable is the supplier sitting. Open it when you are about to issue a payment, export Tally format if the CA asked for creditors too, and keep the cheque decision on the cash and bank position. A Tally-format Bills Payable of books you have not scanned is the same 4 PM call as a Tally-format Trial Balance you have not scanned.

Daybook still shares as PDF or CSV. MIS still uses the PDF and Excel chooser. Neither is Tally-format export. The five names are the list. If the CA's message names a sixth report in Tally format, the desktop still has a job.
