What the balance sheet tally mobile view shows
A Balance Sheet is assets against liabilities at a point in time, so you can see what the business holds and what it owes. For a Guwahati FMCG distributor that is stock, debtors, cash and bank on one side, and creditors, capital and loans on the other. On the phone it is that same statement, read from the Tally books synced to the device, with a drill the Trial Balance does not have.
It answers the month-end question: what do we hold, what do we owe, and can I walk a group down to the ledger that is bothering me. It does not age Sharma's ₹1,85,000. That is Bills Receivable. It does not list today's vouchers. That is Daybook.
Financial Statements hold Trial Balance, Profit & Loss, Balance Sheet and MIS Reports. Balance Sheet is the drill inside that group. The working-day order of the rest is the daily checklist for Tally reports.
Group to sub-group to ledger
This is the behaviour that makes the phone useful at Fancy Bazaar. Open Balance Sheet. Tap Sundry Debtors. Tap the sub-group your Tally uses. Tap Sharma Kirana. The ledger is the end of the walk. That is group to sub-group to ledger, read from the synced books.
The walk is three taps, not a search through Tally's display. A Dibrugarh owner visiting Guwahati for the day does the same walk from the car at 6:15, before he promises a retailer more credit. If Sharma's ledger is ₹1,85,000 here and Outstanding said the same at 8:30, the promise can wait. If the two disagree, the promise definitely waits.
Trial Balance will not do this walk. The trial balance on the phone is a flat list. If the CA asked for a TB and you actually needed Sharma's ledger under debtors, you opened the wrong statement. Open Balance Sheet, walk the group, then decide whether the outstanding receivables or Sharma's ledger statement is the next file.
Party search on every report is a search box. You type a name. Typing Sharma on the Balance Sheet is the shortcut when you already know the ledger and do not want to tap through groups. Access to the Reports tab is permission-controlled per team member. A salesman without that permission does not see the drill at all.
The Difference row
When the synced books do not foot, the Balance Sheet shows a Difference row. A non-zero figure there is a signal. The phone is telling you the books it read do not foot. The next step is Tally on the desktop: find the voucher, the pending audit, the stock journal that never posted. The phone does not rewrite Tally to make the row go away.
At 9:35 the owner drills Sundry Debtors down to Sharma Kirana, then scrolls the whole statement to export, and a Difference of ₹4,800 sits at the bottom. Sharma's ledger is fine. The row is still there. He does not WhatsApp the CA "books tight hain." He calls the accountant: which voucher from yesterday will not foot. The phone has done its job by showing the row. Clearing it is Tally.
Do not tell the CA the books are clean while that row is sitting there. Do not treat the row as a phone bug. Sync again after you fix Tally, then open Balance Sheet and see whether the row has gone. Until it has, treat every exported statement as unfinished. The statement shows what the synced books show, including a Difference when they do not.
Assets, liabilities and Sharma Kirana
What the owner actually reads at 9:40, still at the counter: Sundry Debtors in the neighbourhood of eighty parties, not a surprise spike. Sundry Creditors before he commits a supplier cheque. Cash and bank against the cash and bank position he is about to rely on. Stock as a group total, with the stock summary when the question is an item, not a Balance Sheet line.
Sharma Kirana at ₹1,85,000 after the drill is the same party Outstanding showed at 8:30. The Balance Sheet names the ledger. Outstanding names the overdue. Both can be true at once. The drill is for "where in the books does this party sit." Outstanding is for "call him before the van leaves."
Baruah Store at Paltan Bazaar can wait if the ledger is ₹22,000 on 30-day terms. Sharma cannot. The drill is how you decide which WhatsApp to send first, without a call to the accountant who is already on another voucher.
Exporting the Balance Sheet from the phone
The CA wants the statutory layout. PDF and Excel export exist for Balance Sheet, behind a chooser sheet. Tally-format export, the layout Tally itself prints, exists for five statutory reports: Trial Balance, Balance Sheet, Profit & Loss, Bills Payable and Bills Receivable. Profit & Loss and Balance Sheet export in that Tally format only for the current period. Last year's Balance Sheet in Tally format still comes from the desktop.
Every exported PDF or Excel goes through the phone's share sheet, where you pick WhatsApp, or email, or Drive. The five-report list and the current-period rule are in Tally-format export from the phone.
If the Difference row is non-zero, finish Tally first. Then export. A Tally-format Balance Sheet with ₹4,800 of Difference is a file that comes back at 4 PM, and the van has already left.
Balance Sheet next to Trial Balance
Trial Balance is every ledger as a list. Balance Sheet is assets and liabilities with a drill. Profit & Loss is the period result, on the profit and loss statement from Tally on mobile. You send the CA the TB and the Balance Sheet together because they are different shapes of the same books, not because one is a backup of the other.
The phone reading of Tally reports on mobile is those books through the day. Balance Sheet is the month-end drill in that set.
After the drill, before the van
The drill is useful at 8:40 too, not only on the second. Outstanding says Sharma Kirana is ₹1,85,000. The owner wants to know whether that rupee sits in Sundry Debtors the way he thinks, or whether a journal has parked part of it on another ledger. Balance Sheet, Sundry Debtors, sub-group, Sharma. If the ledger and Outstanding disagree, Tally is the next stop, not a fight with Sharma from the van.
Sundry Creditors gets the same walk before a supplier cheque. The cash and bank position says what you can release. The Balance Sheet walk says which creditor ledger you are about to pay. A cheque written from memory of "the oil supplier" is how a payment hits the wrong party. Two taps, then the cheque.
Capital and loans are the groups the brother asks about at night. They drill the same way. There is no salesman filter and no godown filter on this statement. Godown is its own report. The drill is group to sub-group to ledger, which is enough to find Sharma and not enough to find which godown the stock sits in.
