How to Export a Tally Report to Excel from Your Phone

You can export a Tally report to Excel from your phone for eleven reports that offer a PDF and Excel chooser: Trial Balance, Profit and Loss, Balance Sheet, Bills Receivable ageing, Bills Payable ageing, MIS, Payments, Purchase Analytics, Sales Analytics, Cross-sell Gaps and Inventory Velocity. Receivables Ageing and Customer Analytics export to PDF only, with no Excel, and Daybook shares as PDF or as a CSV file. A Guwahati FMCG owner still at Fancy Bazaar at 9:10 gets the CA asking for the Trial Balance as a sheet. He opens Financial Statements, Trial Balance, picks Excel from the chooser, and the file goes through the phone's share sheet, where he picks WhatsApp, email or Drive. That is how you export a Tally report to Excel from mobile. Tally-format export, the layout Tally itself prints, is a separate file for five statutory reports.

Can I export a Tally report to Excel from my phone?

Yes, for the eleven reports that open a chooser sheet with PDF and Excel on it. The phone does not turn every report into a spreadsheet. The list below is the whole map. The CA asked for a file they can open in Excel. A screenshot of Sharma Kirana's ₹1,85,000 will not do that job.

The Reports screen on the phone is two groups. Financial Statements hold Trial Balance, Profit and Loss, Balance Sheet and MIS Reports. Action Reports hold Collections, Bills Receivable, Bills Payable, Sales Analytics, Customer Analytics, Cross-sell Gaps, Inventory, Purchase Analytics and Daybook. Export lives on individual reports, not as a single button on that list. The working-day order of those reports is the daily checklist for Tally reports.

Party search on every report is a search box. You type a name. Access to the Reports tab is permission-controlled per team member. A salesman without that permission does not see reports at all, so he also cannot export them.

The eleven reports that export to Excel

These reports offer a PDF and Excel chooser. Pick Excel, then the file goes through the phone's share sheet.

Report Group Reports+ needed
Trial Balance Financial Statements No
Profit and Loss Financial Statements No
Balance Sheet Financial Statements No
Bills Receivable ageing Action Reports No
Bills Payable ageing Action Reports No
MIS Financial Statements Yes
Payments Action Reports No
Purchase Analytics Action Reports Yes
Sales Analytics Action Reports Yes
Cross-sell Gaps Action Reports Yes
Inventory Velocity Action Reports Yes

Reports+ is a paid add-on bundled into the Copilot plan. It unlocks MIS Reports, Sales Analytics, Cross-sell Gaps, Purchase Analytics, the Payment behaviour tab of Collections and the Velocity tab of Inventory. Without Reports+, those five Excel paths stay dark. Trial Balance, Profit and Loss, Balance Sheet, Bills Receivable ageing, Bills Payable ageing and Payments still offer the chooser.

The Trial Balance on the phone is a flat list. There is no drill from a line into a ledger. Group to sub-group to ledger is the Balance Sheet. Exporting the Trial Balance to Excel gives the CA that same flat list as a sheet. It does not invent a drill-down the screen does not have.

Bills Receivable ageing is always as of today. You can edit the ageing slabs on the phone. The choice is remembered per company on that device. The Excel file follows the slabs you set. Bills Payable ageing is the same shape on the supplier side. The Payments report has a basis toggle, Bill-wise or FIFO, covered in bill-wise versus FIFO. The Excel file follows the basis you had open.

Sales Analytics, Cross-sell Gaps, Purchase Analytics and Inventory Velocity are the Reports+ analytics set. Sales Analytics from Tally is which items moved and which parties bought. There is no salesman filter and no godown filter on that report. The Excel file will not add a salesman column the screen does not show.

PDF-only and CSV: what stays off Excel

Three reports people assume will become a spreadsheet do not.

Receivables Ageing exports to PDF only. There is no Excel chooser on that report. Bills Receivable ageing, the action-report cousin, is the one with Excel. If the CA asked for ageing as a sheet, open Bills Receivable, not Receivables Ageing.

Customer Analytics exports to PDF only. Who buys, how often, how much, as a PDF. The Customer Analytics report is that view. Sharma Kirana lifting twice a week at tickets around ₹22,000 is a PDF you can share. It is not an Excel file.

Daybook shares as PDF or as a CSV file. That CSV is not Excel. Daybook on the phone has Today, Yesterday, Last 7 days, Last 30 days and Custom, plus a voucher-type chip. A salesman who said "12 bill ho gaye" at 12:10 is a Daybook check, then a CSV if the office wants the voucher list in a grid. Call the file CSV when you send it, so nobody looks for an .xlsx and thinks the export failed.

Ledger statement and pending-bills statement are PDFs from the party page, the bills page and the ageing report. They are not on this Excel list. Share those as statements, not as a report export.

Most action reports have no date filter. Ageing is always as of today. Daybook is the action report with presets. Ledger statement and godown reports have This FY, This Quarter, This Month, Last Month, Last FY and Custom. Exporting a report that has no date filter will not invent a date range in the file.

How to export a Tally report to Excel from mobile

Open the report. Open the chooser. Pick Excel. The phone's share sheet appears. Pick WhatsApp, or email, or Drive, or Files. That is the whole path. There is no second Tally sitting on the phone producing a different sheet. The numbers are the Tally books synced to the device.

A worked sitting at 9:10. The CA WhatsApps "TB Excel mein bhej do." Reports, Financial Statements, Trial Balance. Chooser, Excel. Share sheet, WhatsApp, the CA's chat. The owner is still on the Fancy Bazaar pavement. Sharma Kirana's counter is twenty steps away. The sheet leaves the phone the same way a PDF would.

If the CA wanted Profit and Loss or Balance Sheet as a sheet, same chooser on those two reports. If the CA wanted the layout Tally itself prints, that is Tally-format export, next section, not this Excel path.

On the web app, a manual WhatsApp send carries the message text only, also copied to clipboard. The PDF or Excel attachment is a phone-only behaviour. If you are at a browser and need the file on WhatsApp, export on the phone, or email the file from wherever you saved it. The share a Tally report as PDF on WhatsApp post walks the share sheet in full, including that web limit.

The wider set of Tally reports on mobile is how the phone reads the same Tally books. Excel is one way a report leaves the device. It is not how every report leaves.

Tally-format export is a different file

Tally-format export, the layout Tally itself prints, exists for five statutory reports: Trial Balance, Balance Sheet, Profit and Loss, Bills Payable and Bills Receivable. Profit and Loss and Balance Sheet export in that Tally format only for the current period. That file is for the CA who said "Tally ka print." It is not the Excel chooser.

The Tally-format export from the phone post lists those five and the current-period limit. When the CA wants a sheet they can filter, pick Excel. When they want the familiar Tally page, pick Tally format. Sending both without asking is how 9:10 becomes two files and a third WhatsApp.

MIS has Excel and no Tally-format export. Payments, Purchase Analytics, Sales Analytics, Cross-sell Gaps and Inventory Velocity have Excel and no Tally format. Receivables Ageing and Customer Analytics have PDF and neither Excel nor Tally format. Daybook has PDF or CSV.

When the Balance Sheet shows a Difference row, the synced books need attention in Tally before any of those files is finished. Excel will carry the same Difference the screen shows. It will not hide it.

What to send the CA from Fancy Bazaar

Second of the month, 9:10, still at Fancy Bazaar. The CA asked for Trial Balance as Excel. Send that. If they also want Profit and Loss, send that from the same chooser on the P&L screen. If they want the Tally print layout, send Tally format for the current period on P&L and Balance Sheet.

Do not send Customer Analytics as a substitute for a Trial Balance. Do not send Daybook CSV and call it the Trial Balance sheet. Do not send Receivables Ageing PDF and tell them it is Bills Receivable Excel. The names on the chooser are the names on the email.

For the owner, Bills Receivable ageing as Excel is the midday file: Sharma's ₹1,85,000 in whichever bucket 47 days falls into on the slabs you set. Sales Analytics as Excel is the evening file, after the godown is locked, if Reports+ is on. MIS as Excel is the 12-month grid with a total column, no drill-down from a cell, also Reports+.

A brother on the family WhatsApp who wants "August ka number" often wants the This Financial Year band or the P&L, not an eleven-report dump. Send the one file that answers the question that was asked.
